Eleven Recruiting is searching for a high-level Executive Assistant to support the CEO of a $5 billion financial firm, ensuring smooth operations and efficient time management. This role requires a proactive individual who can handle diverse responsibilities with confidentiality and discretion. The Executive Assistant will act as a liaison for the CEO's various business ventures, charitable projects, and personal matters, demonstrating exceptional organizational and communication skills in a fast-paced, entrepreneurial environment.


Key Responsibilities:

  • Manage sensitive matters with utmost confidentiality and discretion, especially those impacting global operations.
  • Sustain a daily calendar of meetings and events, ensuring efficient scheduling and time management.
  • Prepare Google Docs, Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents to support organizational objectives.
  • Arrange travel and accommodations for executives and prepare detailed expense reports.
  • Screen incoming calls, deliver accurate messages, respond to information requests, and refer non-routine calls to appropriate staff.
  • Demonstrate excellent communication and time management skills, meeting all deadlines and performing additional duties as assigned.
  • Draft and prepare internal announcements, board meeting materials, and other organizational documents.
  • Be responsive to emails, texts, and phone calls, including outside normal business hours.
  • Handle C-Level matters with discretion, confidentiality, and good judgment.
  • Represent the company and the Executive positively through strong follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting, and analyzing information in advance.
  • Complete ad-hoc projects as assigned, including personal events and family needs.
  • Organize complex calendars and schedules, resolving any scheduling conflicts.


Skills and Qualifications:

  • Bachelor's degree - preferred.
  • 7+ years in an executive assistant role supporting C-Level executives.
  • Advanced proficiency in Google and Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Effective and professional communication skills.
  • Ability to work flexible hours as needed for projects and meetings.
