Executive Assistant
We’re excited to share an opportunity for an Executive Assistant with a well-established denim brand based in Vernon, CA. With over 40 years in the industry, the company collaborates with LA-based laundries to design and produce high-quality, locally crafted denim. This role offers a collaborative, hands-on environment ideal for someone passionate about denim and eager to grow in the fashion industry.
Key Responsibilities:
  • Calendar & Scheduling Management:
    Manage complex calendars, coordinate meetings, and ensure seamless scheduling for management, internal sales teams, external partners, and vendors.
  • Communication & Coordination:
    Serve as the central point of communication within the organization and external partners. Coordinate follow-ups, project updates, and align deadlines.
  • Travel Arrangements:
    Book flights, hotels, car services, Ubers, and manage itineraries while maintaining updated calendars and tracking travel-related expenses.
  • Meeting & Event Coordination:
    Organize and prep for meetings, including arranging meals, reserving restaurants, and coordinating team events like birthday celebrations, company lunches, and dinners.
  • Task Coordination:
    Track internal team deadlines, send reminders for small deliverables, delegate tasks as needed, and maintain organized documentation.
  • Expense Management:
    Gather, file, and track invoices and expenses for the team, ensuring accurate reporting and timely submissions.
  • Administrative Support:
    Manage office supplies, snacks, and beverages to ensure a tidy and functional workspace. Oversee the office environment, maintaining organization and efficiency.
  • Sample Management:
    Handle returning purchased samples and tracking the company’s sample inventory as needed.
  • Office Operations:
    Open and/or close the office daily, ensuring smooth day-to-day operations.
Qualifications:
  • 2+ years of experience as an Executive Assistant, Office Coordinator, or in a similar role.
  • Strong organizational skills with excellent attention to detail.
  • Exceptional time-management and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and Google Workspace.
  • Excellent verbal and written communication skills.
  • Ability to take initiative, prioritize tasks, and maintain a proactive approach.
Position Details:
  • Location: Onsite in Vernon, CA
  • Schedule: Full-time
  • Salary Range: $50,000 - $80,000 (commensurate with experience)
