Executive Assistant

The purpose of this position is to ensure smooth day-to-day operations of the practice while providing superior client service to the firm’s prospects, clients, and team members. We are seeking an individual who has a sharp phone presence with excellent listening skills. The ideal candidate will assist in event planning and will have the ability to build a rapport with our prospects and clients. This employee will provide support to the managing partner/owner, paraplanner, and other financial advisors when added to the team.

Minimum Requirements:
- 2+ years of Executive Assistant experience in a busy office
- Marketing experience highly preferred
- Intermediate to advanced skills with MS Office Suite
- Excellent verbal and written communication skills
- Advanced Skills calendaring
- Experience with CRM systems
- Proficient phone skills
- Experience working in a fast-paced environment

Responsibilities:
Assisting the Financial Advisor in managing the firm to exceed excellent and regulatory expectations include, but are not limited to:
- Answer the phone and greet clients in a friendly, warm manner
- Create a “Ritz Carlton experience” with all visitors & interactions
- Build and improve upon client relationships
- Assist in event planning, organizing client events
- Managing Advisor’s calendar
- Confirm all appointments
- Mail or email follow up letters to clients after each appointment
- Assist with managing vendors and 3rd party relations for Advisor
- Ensure Chief Advisor is organized and prepared for all team and client meetings
- Keep database up to date and accurate
- Maintain confidential information
- Assist with the weekly staff meetings and take minutes
- Assist with ongoing marketing efforts; create and monitor social media posts in a compliant manner
- Plan annual team business meetings
- Make reservations for lunches and meetings
- Maintain the office filing system, both paper and electronic
- Mail outgoing correspondence (new client folders, gifts, etc.)
- Other industry-specific tasks as needed
- Assist with personal chores
Salary
$25 - $30 / Hour
Hours
Tuesday - Friday
9:00 AM – 4:00 PM with flexibility
Minimum 25 hours per week – up to 40 hours per week
