Job Responsibilities Performs a variety of administrative support and routine office duties such as filing, typing letters, reports, etc. Process procurement purchases using SCEIS on an as needed basis. Records and types minutes for various monthly and weekly meetings. Receives, reviews, and transmits damage claims. Answers phone calls, greet visitors, and checks and distributes incoming mail. Assists the public and other customers with work requests and other department related matters. Uses Microsoft Office, SCEIS, and other Department Software and systems as needed for operations and records. Enter work request, update material costs, and update stockpile inventory. Ensures that the filing system is current and that file retention policies are complied with. Acts as timekeeper, entering information into online SCEIS system, and maintains leave records. Assists in ordering, compiling and maintaining records of quantity, type and value property, equipment (inventory), material supplies and office supplies. Assists with processng personnel transactions including new hires; compiles and maintains personnel records; tracks and schedules training. Assists in disseminating information to employees for changes in department rules and regulations, insurance, and other benefits. Assists crews as needed with paperwork. Assists with emergency and inclement weather operations, may include extended hours and/or 12 hour shifts. Minimum and Additional Requirements A high school diploma; or an approved acceptable equivalence. The physical demands for the essential functions of this position include sitting or standing at a desk for extended periods and working on a computer. May be required to lift up to 30 lbs. May be required to work outside of normal work schedule, especially during inclement weather and/or other departmental-related emergencies. Converses often with city and county officials, giving information about DOT procedures and schedules. Operates maintenance radio, typing, electric calculator, fax machine and personal computer. Ability to walk, stand, stoop, bend and climb. Ability to work in all types of weather conditions. May be required to work overtime and shift work during hazardous weather and other emergency operations.
