WHY BOX NEEDS YOU
We are looking for a Legal Operations Manager to join our quest in optimizing and automating processes by implementing legal programs and tools. Our team solves problems and takes initiative, with the ability to pivot according to the business needs. We need someone like you to help make an immediate impact! You'll have the opportunity to identify opportunities, and implement methods, for streamlining and increasing operational efficiencies within the Legal department. As a Legal Operations team member, you will support a wide variety of projects and programs across the Legal team with a primary focus on supporting Employment Legal, IP and LER teams. Your role will require a strong understanding of legal processes and procedures, as well as excellent organizational and analytical skills. You will work closely with cross-functional teams to ensure efficient and effective legal operations. This role is based in our Austin or Redwood City offices and reports into the Chief of Staff, Director of Legal Operations.
WHAT YOU'LL DO
Lead and optimize the eDiscovery processes within Legal. Your primary responsibilities will include planning litigation and document pulls, ensuring effective execution of eDiscovery strategies, and maintaining compliance and documentation standards throughout the eDiscovery lifecycle.
Support Employment Legal on a variety of matters, including, but not limited to:
Track and manage project management tasks related to claims. Implement project management strategies for handling matters relating to moonlighting, code of conduct, and employee handbook. Establish ownership over various employment-related processes. Develop standardized processes for HR compliance from a legal and policy perspective, aligning with Box policies. Manage subpoenas and wage garnishments for administrative claims by outsourcing when necessary. Monitor and analyze employment legal metrics to track trends and ensure compliance. Design an intake process for handling various employment-related issues effectively. Create a playbook to document advice received from external counsel on international HR matters, such as sick leave policies in specific regions like Poland; explore tools that can streamline this process. Develop a process flow for settlement agreements.
Support IP and LER teams on a variety of matters, including, but not limited to:
Program manage and assist the implementation of the IP's tools (e.g. OSS and Trademark management systems). Provide LER back up coverage. Manage the preservation reminders process on a quarterly basis to ensure timely action is taken. Assist in handling patent and trademark docketing activities accurately and efficiently.
Assist with the Data Retention Program (e.g., support compliance efforts by following up on questionnaires, acknowledgments, and updating documentation). Engage with stakeholders at different levels and across different departments to identify, mitigate, escalate, and resolve issues. Drive strategic projects for the Legal team and collaborate with cross-functional stakeholders. Gather business requirements and develop written documentation based on specific projects. Prioritize, organize, and work efficiently in a high-volume, results-oriented environment. Assist with other projects on the Legal team, as needed. Stay knowledgeable on trends in legal software and technology. WHO YOU ARE Bachelor's degree required and 4+ years of legal work in areas such as legal operations, contracts administration, or paralegal responsibilities. Strong initiative and problem-solving skills with a history of investigating, scoping, establishing a framework, and executing legal processes. You have a passion to create structure and insight from disorder and data. A detail oriented, data driven individual who has advanced skills in Excel/G-sheets and MS Office. Demonstrates a strong ability to communicate concepts clearly, accurately, and succinctly to a wide range of audiences, both orally and in writing. A history of building strong relationships, credibility, and partnerships and of working in cross-functional teams. Required experience in legal processes, operations and exposure to legal tools such as eDiscovery software. Preferred experiences with any of the following tools: Exterro, Jira, Salesforce, AirTable, and/or Certa.
