Pay Range
$35.98 - $43.67 Hourly
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
Job Description
We are looking for two Administrative Specialists who will be an essential part of the Infrastructure Maintenance and Utilities Department (IMUD) administrative team. You will perform a full range of complex and difficult administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities that require independent judgment, initiative, and follow through. This position will be in the Infrastructure and Operations Directorate (I&O) and will report to the IMUD Department Administrator. One of these positions may require work at Site 300 located in Tracy, California.
This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the department.

Site 300 is an experimental test site operated by LLNL. Situated on 7,000 acres in rural foothills approximately six miles southwest of downtown Tracy and 15 miles southeast of Livermore, Site 300 hosts approximately 200 employees with expertise in such fields as engineering, chemistry, biology, and environmental restoration. Employees assigned to work at Site 300 may be exposed to the organism that causes San Joaquin Valley Fever (coccidioidomycosis).
Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
Pre-Employment Drug Test
External applicant(s) selected for this position must pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.
Wireless and Medical Devices
Per the Department of Energy (DOE), Lawrence Livermore National Laboratory must meet certain restrictions with the use and/or possession of mobile devices in Limited Areas. Depending on your job duties, you may be required to work in a Limited Area where you are not permitted to have a personal and/or laboratory mobile device in your possession. This includes, but not limited to cell phones, tablets, fitness devices, wireless headphones, and other Bluetooth/wireless enabled devices.
If you use a medical device, which pairs with a mobile device, you must still follow the rules concerning the mobile device in individual sections within Limited Areas. You will
- Serve as a member of the administrative team supporting department management, first line supervisors and crafts workers in daily matters. Taking the initiative to gather, clarify, disseminate information, and coordinate a wide range of activities; on behalf of management, respond to administrative matters and collaborate with various levels of staff and a diverse range of personnel, both internal and external to the Laboratory.
- Coordinate, select, and compile data from multiple sources for complex reports, knowledge management tools, and presentations.
- Establish and maintain complex databases, spreadsheets, and tracking/filing systems.
- Plan, organize, and coordinate department wide events.
- Generate correspondence on own initiative and compose correspondence for management signature that may be sensitive in nature.
- Serve as a resource and interpret organizational policies and procedures.
- Manage complex calendars independently determining scheduling priorities.
- Maintain administrative aspects of creative projects, troubleshoot issues in project billing system, and facilitate post-project coordination, and record keeping.
- Perform other duties as assigned.
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship
- Advanced administrative knowledge and experience including accurate keyboarding, editing, grammar, and proofreading skills; advanced knowledge of office procedures, techniques, and methods.
- Advanced organizational skills, attention to detail, accuracy, and follow through.
- Experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.
- Advanced written and verbal communication and interpersonal skills necessary to interact effectively with a diverse workforce and represent the organization with all levels of management, internal and external to the Laboratory, using tact, diplomacy, and discretion.
- Effective problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Advanced computer skills and experience with the Microsoft Office Suite, database and calendaring software, and the ability to learn new software.
- Knowledge of LLNL business applications and processes such as LEAP, TIME, LINCS, EAM, LTRAIN, ePay, and Cliqbook. Familiarity with LLNL's policies and procedures.
- Experience with project coordination, tracking and reporting progress of multiple projects.
- Knowledge of and experience with Microsoft Teams and SharePoint, and Adobe Creative Suite.
- Experience independently responding to data calls from senior management.
