We are offering a contract to permanent opportunity for a skilled Administrative Assistant in the Financial Services industry, based in Galveston, Texas. This role involves providing valuable assistance to financial executives and managing a range of administrative duties.


Responsibilities:

• Accurate processing of financial data in databases and basic bookkeeping tasks to ensure immediate availability of necessary information

• Efficient organization, filing, and maintenance of financial reports, records, and various documents

• Preparation of financial statements, reports, memos, invoices, letters, and other related documents

• Providing administrative support to the financial department, including executives and teams

• Coordinating and scheduling of meetings, interviews, appointments, and other similar activities, including travel arrangements and accommodation when necessary

• Handling inbound and outbound calls, screening phone calls, and redirecting them as necessary

• Interaction with clients to provide information as needed

• Management of office supplies inventory, and placing orders when necessary

• Proficiency in computer software including Microsoft Office Suite or similar software for effective data entry and email correspondence.

• Minimum of 1 year of experience in an administrative role

• Proficient in answering inbound calls and managing inbound/outbound calls

• Strong customer service skills, with a focus on delivering high-quality service

• Experience with data entry tasks and maintaining accurate records

• Ability to handle email correspondence effectively and professionally

• Proficient in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word

• Demonstrated ability to schedule appointments and manage calendars efficiently

• Excellent communication and interpersonal skills

• Ability to multitask and prioritize work effectively

• High attention to detail and problem-solving skills

• Strong organizational skills with the ability to manage numerous projects and responsibilities simultaneously

-A background in the banking, real estate, insurance industry is a PLUS!
