Key Responsibilities:
- Reception Duties: Greet parents, children, and visitors with a friendly and professional demeanor. Answer phone calls, respond to emails, and manage the front desk.
- Record Keeping: Maintain accurate and up-to-date records, including enrollment forms/files, attendance logs, and staff schedules. Ensure confidentiality of all sensitive information.
- Scheduling: Assist with scheduling tours, orientations, and staff meetings. Coordinate daily schedules and ensure all activities run smoothly.
- Communication: Serve as a liaison between parents, teachers, and the center director is key. Positive and enthusiastic candidates are a must. Communicate important updates, policy changes, and upcoming events to families and staff.
- Billing and Payments: Address any billing inquiries from parents.
- Supplies Management: Monitor inventory levels and order supplies as needed. Ensure classrooms and office areas are well-stocked and organized.
- General Administrative Support: Perform various administrative tasks, such as filing, photocopying, and managing correspondence. Assist with any other duties as assigned by the center director.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in a daycare or educational setting.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- A friendly and approachable demeanor, with a passion for working with children and families.
- Knowledge of childcare regulations and best practices is an asset
