The Christman Company is looking for an Administrative Assistant. As the Administrative Assistant for Christman's "Copper Connect" business unit, this role supports the marketing, business development, and client/partner experience areas of the company. This position performs a variety of duties such as data entry, coordinating and scheduling meetings and conferences, providing assistance on special projects, answering correspondence, and prioritizing and organizing workloads. In addition, this role interacts with a diverse group of important external clients as well as internal contacts at all levels of the organization and must maintain confidentiality. Aptitude for providing administrative support in a deadline-driven environment and wholehearted commitment to building strong partnerships to support project and strategic goals is critical for success.

What You Will Do:

As Administrative Assistant, your primary daily responsibilities of this role include, but are not limited to:

1. Produce Office Documents

  • Create, edit, format, and update documents from team member drafts and input.
  • Produce documents and reports following Christman templates and standards. Arrange for outside reproduction services when necessary.
  • Craft business correspondence for review and approval by project team members.
  • Assist with frequently requested corporate qualifications data, forms and signatures.
  • Proofread final products to verify professional impact including correct spelling, punctuation, and grammar.

2. Manage Communication, Events and Materials

  • Receive, review, and forward vendor invoices and payments.
  • Assist team members with specific needs as required on a project-by-project basis.
  • Assist with arranging client and team events/parties throughout the year.
  • Receive, screen and distribute incoming correspondence.
  • Track groundbreaking shovels and other materials.
  • Purchase, assemble and organize client appreciation items.
  • Process wearables orders, reviewing to ensure correct quantity, quality and logos.

3. Support Data Management

  • Update contacts and information within the company Customer Relationship Management (CRM) system.
  • Upload, tag and enter relevant data to visual assets within online management system.
  • Create and distribute results reports using online business intelligence reporting tool.
  • Participate in annual review of donation and sponsorship budgeting and reconciliation reporting.

4. Coordinate Meetings and Associated Technology

  • Schedule meetings and conference calls.
  • Schedule conference rooms for meetings.
  • Arrange/set up needed technology for meetings.
  • Order food and other items, as necessary.
  • Prepare and disseminate meeting notes and other follow-up items.

5. Other Duties

  • Coordinate onboarding activities for new team hires.
  • Coordinate travel and hotel accommodations for team.
  • Register and keep calendar for leadership team.

6. Complete assigned and required training for this role.

What You Will Bring to the Team:

Required experience, knowledge, and skills for this role include:

  • Associate's degree in business administration or related field.
  • Minimum two (2) years of general administrative/office experience.
  • -or- Equivalent combination of the above education, training, and experience.

Preferred experience, knowledge, and skills for this role include:

  • Previous construction administration experience.

Additional Eligibility Qualifications

  • Proficient in Microsoft 365, specifically in Word, Excel, Power Point, and Outlook.
  • Strong verbal and written communication skills.
  • Detail orientated, strong organizational skills and the ability to maintain confidentiality.
  • Strong interpersonal skills with an ability to maintain a high level of customer service.
  • Must work creatively, independently, and collaboratively as a team member and be able to multi-task and prioritize projects.
  • Excellent customer relation skills with the ability to communicate effectively with internal and external customers in a professional manner.

Work Environment and Physical Demands: This position will be conducted in a temperature-controlled professional office environment, with moderate noise. The role will routinely use standard office equipment such as computers, phones, photocopiers, scanners, and file cabinets. While performing the duties of this role, the employee is regularly required to talk, listen sit, walk, reach, kneel, stoop, crouch, and use hands and fingers to handle or feel and to operate a computer keyboard and phone while maintaining visual acuity. The employee may occasionally be required to lift and or carry lightweight (under 20 pounds) objects. The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation.
