Job Summary

To provide prompt and efficient executive-level administrative support for the Property Management department. This position will be part of team that is responsible for the day to day operations of a housing rental property. This position is expected to work 28-29 hours weekly.

Summary of essential job functions

This individual is responsible for administrative support for the functions of the Property Management Department and the Company overall.

Assist the Property Management team with tenant administrative needs, including but not limited to creating new resident packages, scheduling amenity reservations, triaging calls and emails to appropriate department, and adjusting & reviewing sensitive tenant data.

Greet Guests in a friendly manner, handle correspondence, incoming mail, including confidential materials, professionally and expediently.

Supporting in the refund of security deposits and filing for gov’t housing tenants.

Photocopying, faxing, scanning, and file administration as needed.

Must be proficient in Outlook, MS Word, and Excel. Use of various software packages and visual aids to produce accurate documents, presentation materials, charts and graphics (type, proof, organize, design, create fonts, layout, etc.) within established deadlines.

Greet visitors, screen incoming calls, schedule appointments, maintain calendar, and play an active role in organizing and prioritizing its activities.

Qualifications

  • Previous office experience preferred
  • Experience with Microsoft Office programs (Outlook, Word, Excel, Access, PowerPoint)
  • Strong work ethic, positive attitude, and good judgment

  • Excellent communication and listening abilities
