We are offering a permanent employment opportunity for an Executive Secretary and Administrative Assistant in Buffalo, New York. The primary function of this role is to provide top-notch administrative support within the healthcare industry. This role will involve handling of customer inquiries, maintaining accurate records, and processing applications.
Responsibilities:
• Efficiently manage incoming communication, including mail and phone calls
• Act as a liaison between staff, other employees and the public to ensure smooth information flow
• Handle customer inquiries and complaints professionally
• Maintain and manage office filing systems, including electronic ones
• Use Microsoft Office Suite and other software to produce correspondence, reports, and other necessary documents
• Coordinate and schedule meetings and travel arrangements as needed
• Review incoming and outgoing correspondence, drafting responses where appropriate
• Perform data entry tasks using Microsoft Access, Excel, and Word
• Operate office equipment such as scanners and printers for document production and digital storage
• Perform other duties as required in the role.• Proficiency in Data Entry is essential for managing information efficiently.
• Mastery of Microsoft Excel is required for data analysis and visualization.
• Familiarity with Microsoft products including Word, Access, and Power BI is necessary.
• Knowledge about Policy-making is significant for administrative decisions.
• Experience in Answering Inbound Calls to handle client inquiries and complaints.
• Ability to Review and analyze documents and reports.
• Proficiency in using About Time software for time management.
• Understanding of Medical Coverage policies to assist in employee benefits management.
• Skilled in Scanning and Scanning Documents for record-keeping and distribution purposes.
• Capable of managing Correspondence effectively for smooth communication.
• Acting as a Liaison between different departments or external parties.
• Willingness to arrange and manage Travel itineraries for executives.
• Excellent Communication Skills for clear and effective communication.
• Familiarity with Consumer Electronics for troubleshooting minor technical issues.
• Experience in dealing with C-Suite executives and understanding their requirements.
• Proficiency in using Microsoft Office Suites for various administrative tasks.
• Capability to handle Printing tasks efficiently.
• Ability to handle Complaints and provide satisfactory solutions.
