MalaceHR is seeking a dedicated and proactive Receptionist to join our team. This individual will provide high-level administrative support, ensuring smooth operations through various administrative and clerical functions. The role operates Monday to Friday, from 8:00 AM to 5:00 PM. The ideal candidate will demonstrate excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:
  • Greet and direct visitors, ensuring a positive first impression.
  • Answer and manage incoming calls and direct them to the appropriate personnel.
  • Receive and send packages via couriers, ensuring timely and accurate delivery.
  • Maintain visitor log and call record, providing security passes or badges as required.
  • Perform basic clerical tasks including typing, filing, and other administrative duties.
  • Manage the boardroom schedule and ensure the availability of required equipment.
  • Assist with administrative support tasks such as photocopying, binding, and preparing mailers.
  • Oversee and supervise the reservation system for a small conference center, ensuring proper management of bookings.
  • Ensure compliance by archiving and reviewing certificates of insurance.
  • Support the supervision of conference room and amenity lounge reservations.

  • High level of customer service and interpersonal skills.
  • Ability to work independently and manage time effectively.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong attention to detail and organizational skills.

Education & Experience:
  • High school diploma or equivalent required.
  • Previous administrative or receptionist experience required.
  • Experience in Accounts Payable (AP) and managing reservation systems is preferred.

Additional Requirements:
  • Prior experience in archiving and reviewing documents for compliance is an advantage.
  • Ability to work independently and as part of a team in a fast-paced environment.
