MalaceHR is seeking a highly motivated and organized individual to join our team as a Receptionist. The primary role of the Receptionist is to provide high-level administrative support, ensuring smooth operations by managing clerical functions, conducting research, and handling information requests. This position requires excellent communication, organizational, and customer service skills.
Key Responsibilities:
- Greet and direct visitors in a friendly and professional manner.
- Answer incoming calls, manage the switchboard, and provide information as needed.
- Receive and send packages through couriers, ensuring timely and accurate delivery.
- Maintain and update the visitor log and/or call records. Issue security passes/badges as required.
- Perform general clerical tasks such as typing, filing, and photocopying.
- Maintain the boardroom schedule and ensure necessary equipment is available.
- Provide additional administrative support, including preparing mailers, binding books, and other tasks as requested.
- Support team members with miscellaneous administrative functions as necessary.
Skills and Qualifications:
- Strong verbal and written communication skills.
- Excellent multi-tasking, organizational, and time management abilities.
- Exceptional customer service and interpersonal skills.
- Ability to work independently and handle multiple tasks efficiently.
- Strong attention to detail and the ability to maintain confidentiality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to quickly learn new software and systems.
Education and Experience:
- High school diploma or equivalent required.
- 0-2 years of experience in a similar administrative or clerical role preferred.
