MalaceHR is seeking a highly motivated and organized individual to join our team as a Receptionist. The primary role of the Receptionist is to provide high-level administrative support, ensuring smooth operations by managing clerical functions, conducting research, and handling information requests. This position requires excellent communication, organizational, and customer service skills.

Key Responsibilities:

  • Greet and direct visitors in a friendly and professional manner.
  • Answer incoming calls, manage the switchboard, and provide information as needed.
  • Receive and send packages through couriers, ensuring timely and accurate delivery.
  • Maintain and update the visitor log and/or call records. Issue security passes/badges as required.
  • Perform general clerical tasks such as typing, filing, and photocopying.
  • Maintain the boardroom schedule and ensure necessary equipment is available.
  • Provide additional administrative support, including preparing mailers, binding books, and other tasks as requested.
  • Support team members with miscellaneous administrative functions as necessary.

  • Strong verbal and written communication skills.
  • Excellent multi-tasking, organizational, and time management abilities.
  • Exceptional customer service and interpersonal skills.
  • Ability to work independently and handle multiple tasks efficiently.
  • Strong attention to detail and the ability to maintain confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to quickly learn new software and systems.

Education and Experience:

  • High school diploma or equivalent required.
  • 0-2 years of experience in a similar administrative or clerical role preferred.
