JOB DESCRIPTION: RECEPTIONIST
REPORTS TO: Front Desk Supervisor
DEFINITION OF POSITION: Under supervision of the Front Desk Supervisor, operates a Voice over IP (VOIP) digital telephone system by handling and routing multiple calls, gives routine information to the public; greets patients; performs routine clerical work such as typing, file maintenance and retrieval, patient scheduling, chart maintenance.
IGA is committed to the attainment and maintenance of an ergonomically healthy workplace to protect all employees. Safe working conditions are a top priority. Our goal through the support of physicians, administration and staff is to create a culture of ergonomic safety. Staff is encouraged to ask for assistance when heavy items to prevent musculoskeletal injuries. All concerns from staff are to be forwarded to the Clinical Director to facilitate correction of any scenario where staff may feel a risk may occur. Adequate lighting should be maintained and workstations will be equipped for ergonomic safety. Staff is encouraged to wear nonskid footwear, remove or eliminate all clutter, cabinet doors should remain closed, spills will be wiped up immediately, cables will be kept out of traffic flow areas
RESPONSIBILITIES:
1. Greet patients in a friendly, professional manner
2. Open a daily batch in Allscripts and collect co-pay / co-insurance from patients. Document reason unable to collect as well as when patient will forward payment
3. Copies patient insurance cards and Driver's License for the Billing Coordinator
4. At the time of patient check in, make sure ALL patient information is correct and updated in computer:
Demographics Insurance Pharmacy
Referring MD Primary MD Advanced Directive
5. Obtain electronic signatures for HIPAA, Medicare and Release of Information
6. Take photo of patient. Document reason patient declines photo
7. Inform patients that we participate with the Idaho Health Data Exchange
8. Update Health History reminders (Bubble Sheet 315 for every 3 years)
9. Scan patient Bubble Sheets and give to Nursing
10. Print charge tickets for all outpatient endoscopy procedure and Interpretation appointments
11. Prep electronic charts for next day:
Make sure the appropriate medical records are attached
Index scanned charts in the electronic record according to Indexing Protocol
12. Manage multiple incoming calls via the phone console and computer software. Utilize phone features that enhance the efficiency of answering, triaging and routing calls to the appropriate destination
13. Schedule office visits, make and mail patient packets
14. Utilize Wait List to fill empty office appointments. Notify schedulers of cancelled procedures. Document reason patient cancels appointment
15. Collaborate with Provider and Nursing when patient arrives late
16. Enters notes in Allscripts to No Show or Cancelled appoints, sends appropriate letter
17. Make extra patient appointment packets for schedulers if needed
18. Print most current schedules of following day for providers, re-circulate any changes
19. Print tickets for hospital outpatient and endoscopy procedures and give to providers before procedure
20. Ensure that physicians have sufficient quantity of hospital tickets available for hospital call
21. Monitor automated appointment confirmations, confirm/document any appointments if needed
22. Print Clinical Summary for each patient on check-out. Review and delete IGA location for any outpatient exams listed at bottom of Clinical Summary
23. Meridian Reception will manage Fax Press with correct labeling and forwarding of documents to appropriate receiver
24. Complete hospital tickets by pulling patient info sheets from Quick Charts and write down Allscripts account number. Verify usual caregiver. Forward tickets to Billing
25. There is a designated person in each office who will order supplies. These needs will be communicated to the appropriate person.
26. Demonstrates ability to operate and maintain copy machine, credit card machine, facsimile machine
27. Maintain computer skills required to function in the Medical Manager, Allscripts
Quick Charts and IHDE computer programs
28. Give Patient Satisfaction Survey to all patients biannually
29. Assists in keeping waiting room neat
30. Assist in keeping staff lounge neat
31. Maintains HIPAA compliance (patient privacy)
32. Answers questions and gives information directly, or on the telephone within the scope of his/her knowledge
33. Utilizes Microsoft Outlook email for non-patient correspondence and Allscripts email for patient care correspondence/documentation.
34. Demonstrates respect of IGA policies for security, privacy and confidentiality while using IGA equipment
35. Immediately reports any network, hardware or software malfunction to the IT Officer or Supervisors
36. Communicates pertinent information to others
37. Follows personnel policies contained within the IGA personnel manual
38. Other duties as assigned
QUALIFICATIONS:
•High School graduate preferred
•Able to read, write and communicate and present a neat professional appearance
•Create a good impression as a friendly, empathetic, efficient individual as this position has the first contact, phone or face-to-face, with the patient
•Demonstrate reliability, a pleasant attitude, and a willingness to perform the duties as required
•Demonstrate effective communication with physicians and co-workers
•Able to maintain and comply with patient confidentiality and integrity on all matters
