Hours: full-time (37.5 hours per week), Monday through Friday, 8:30 a.m. - 5:00 p.m.

Location: Lynchburg VA, 24501

Compensation dependent on experience

Position Summary

The HR Office Administrator will oversee office and administrative support for the Talent Management Department, including providing oversight of front desk operations and ensuring efficient workflow, compliance with HR protocols, and quality customer service. This position provides hands-on administrative support, as well as supervision of two administrative support employees. Primary areas of responsibility include records management, background check processes, I-9 and E-Verify processes, front office coverage, general office administrative support, and supervision of front office operations. In addition, the employee provides direct administrative support to the Director of Talent Management as needed.

Required Education and Experience

  • Associates in human resources, business, or office administration. Bachelors in related field preferred.
  • Three years of office administrative support experience required, including at least one year of administrative support in an HR Department and at least one year of supervisory experience. An equivalent combination of education and experience that demonstrates the required knowledge, skills, and abilities will be considered.

Related Knowledge, Skills and Abilities

  • General knowledge and understanding of all HR functions and HR operations in an organization.
  • Basic understanding of employment laws and HR operations;
  • Knowledge of Library of Virginia records retention and disposition schedules for Personnel records preferable;
  • Knowledge of federal and state regulations and compliance standards relevant to employment, including I-9s, E-Verify; background checks, TB tests, and records management.
  • Proficiency in MS Office with expertise in Microsoft Word and Excel; Ability to design and work with memos, letters/letterhead, charts, tables, graphs, spreadsheets, etc.
  • Excellent written communication skills, including ability to compose clear, grammatically correct, and error-free documents, as well as ability to accurately and efficiently proofread and correct correspondence and documents.
  • Ability to organize and manage hard copy and electronic personnel and human resources related records for easy retrieval of files and data and to ensure confidentiality, as well as compliance with pertinent regulations; Ability to audit records to ensure compliance with all pertinent federal, state and licensing regulations and guidelines.
  • Ability to drive and must possess a valid driver's license. May be required to travel to different Horizon work sites during the day based on operational needs or to provide admin support at other locations. Regular attendance at trainings and Horizon meetings may require travel to a variety of Horizon sites; Willing and available to work modified schedules (weekends, holidays, etc.) if needed.
