Job Description
We are offering a temporary contract employment opportunity in the education industry for an Executive Assistant based in Los Angeles, California. In this role, you will be providing essential administrative support to the Dean of a university setting, ensuring the smooth operation of the office and maintaining a detail-oriented image.
Responsibilities:
• Assist in the day-to-day operations of the executive office, managing multiple assignments and projects effectively in a fast-paced environment.
• Provide high-level administrative support to the President and Dean, ensuring smooth operations and a detail-oriented image.
• Utilize excellent written and verbal skills to handle a wide variety of situations, demonstrating creative problem-solving abilities.
• Maintain careful attention to detail in all tasks, including processing customer credit applications and maintaining customer credit records.
• Utilize strong organizational skills to analyze, synthesize, and recognize patterns in data and information.
• Use various software and systems such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time for various administrative tasks.
• Manage the executive's calendar, schedule conference calls, and handle correspondence.
• Work independently with minimal supervision while maintaining a calm, congenial, and detail-oriented demeanor.
• This role is on sight Monday - Thursday 9am-6pm
Minimum of 3 years of experience as an Executive Assistant or in a similar role within the education sector.
• Proficiency in ADP - Financial Services, with a focus on managing budgets and financial reports.
• Experience in using Cisco Webex Meetings for organizing and managing virtual meetings and conferences.
• Knowledge of Concur for managing travel and expense reports.
• Familiarity with CRM systems for maintaining and updating student and staff records.
• Proficiency in Kronos Timekeeping System for managing staff schedules and time records.
• Experience in using About Time for project management and tracking.
• Expertise in Calendar Management, including scheduling appointments, meetings, and events.
• Strong communication skills, both written and verbal, for effective correspondence with stakeholders.
• Experience in managing Conference Calls, including scheduling, setting up, and summarizing meetings.
• Ability to draft, proofread and manage Correspondence, including letters, emails, and reports.
