We are seeking an Executive Assistant to join our team located in Las Cruces, New Mexico, United States. This role provides a unique opportunity to utilize your skills in office administration and customer interaction in a dynamic environment. As an Executive Assistant, you will be entrusted with the responsibility of managing operations accounts, coordinating events, and handling payroll expenses. This role presents an opportunity to transition from a contract to a permanent employment.
Responsibilities:
• Managing and processing the operations accounts including accounts payable checks, wire transfers, and ACH payments
• Demonstrating excellent communication and time management skills in all customer interactions
• Coordinating and organizing office events and meetings
• Handling payroll expenses and researching cases
• Utilizing SharePoint for office meetings, showcasing technical proficiency
• Taking care of financial accounts payables, state taxes, and coordinating inventory and supply management chain
• Applying proficiency with ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, and Calendar Management in daily tasks
• Facilitating communication through conference calls and written correspondence.• Proven experience with ADP - Financial Services
• Proficiency in using Cisco Webex Meetings for organizing and conducting virtual meetings
• Demonstrable experience with Concur for managing expenses
• Familiarity with CRM systems for managing customer relationships
• Experience with Kronos Timekeeping System for tracking work hours
• Knowledge of About Time software for efficient project management
• Strong ability in calendar management, coordinating schedules and appointments
• Excellent communication skills, both written and verbal
• Comfortable with setting up and managing conference calls
• Ability to handle business correspondence with professionalism and accuracy.
