We are seeking a dedicated Executive Administrative Assistant to support the Superintendent and Board of Trustees. This is an excellent opportunity to work in a dynamic and impactful environment, with the possibility of transitioning into a full-time position.
Position Overview
The Executive Assistant to the Superintendent provides high-level administrative support, ensuring the efficient operation of the Superintendent's Office. This role involves managing schedules, preparing reports, facilitating meetings, and serving as a liaison between the Superintendent, district staff, and the community.
Key Responsibilities
- Coordinate and maintain the Superintendent’s and Board of Trustees’ schedules, including appointments and travel arrangements.
- Prepare, proofread, and manage correspondence, reports, and presentations.
- Serve as the central point of contact for inquiries, directing communications to appropriate personnel.
- Manage Board Doc operations, including data entry and facilitation during Board meetings (attendance required).
- Maintain confidential records and files while ensuring compliance with district policies and procedures.
- Organize and gather materials for presentations, meetings, and projects.
- Administer and oversee special assignments or recurring projects as required.
- Provide exceptional customer service by answering inquiries and explaining district policies and procedures.
Required Skills and Qualifications
- Proven experience in executive-level administrative support, preferably in an educational or public service environment.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and Board Doc operations.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional interpersonal skills to build relationships with staff, board members, and the public.
