Key Responsibilities:
- Provide comprehensive administrative support to the CEO and five C-suite executives, ensuring their schedules and daily operations run smoothly and efficiently.
- Manage complex executive calendars, schedule meetings, prioritize appointments, and coordinate with internal and external stakeholders to avoid conflicts.
- Plan and organize domestic and international travel arrangements, including flights, accommodations, itineraries, and transportation.
- Act as the primary point of contact for executives, managing incoming and outgoing communications, drafting responses, and handling sensitive or confidential information with discretion.
- Prepare agendas, materials, and presentations for meetings; attend meetings and follow up on action items.
- Draft, proofread, and format correspondence, reports, and presentations; maintain organized and accessible filing systems for easy retrieval of records.
- Process and reconcile expense reports for executives, ensuring accuracy and adherence to company policies.
- Assist in managing special projects or initiatives led by the executive team, including tracking progress, deadlines, and deliverables.
- Coordinate with other departments to ensure the executive team has the resources they need; order office supplies and manage administrative logistics.
- Handle last-minute changes, urgent tasks, and high-priority situations with calmness, professionalism, and efficiency.
Qualifications:
- High school diploma required; Bachelor's degree in Business Administration or a related field preferred.
- At least four years of experience in executive support role, preferably in the manufacturing industry.
- Exceptional verbal and written communication skills.
- Strong organizational and time management abilities with a proven track record of meeting deadlines.
- Proficiency in Microsoft Office Suite or similar software; ability to adapt to new systems.
- Familiarity with office administration and record-keeping procedures.
- Ability to manage tasks in a hybrid schedule with a balance of remote and on-site responsibilities.
