The Executive Assistant provides high-level support to Qu's Executive leadership team, by managing daily schedules, coordinating meetings, handling correspondence, and facilitating executive-level activities to ensure smooth operations. This role demands a proactive, organized, and resourceful individual with excellent interpersonal skills and attention to detail.

At Qu you will:

  • Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
  • Prepare, edit, and format correspondence, reports, presentations, and other documents.
  • Screen phone calls, emails, and other communications, responding on behalf of the executive when necessary.
  • Schedule, coordinate, and organize internal and external meetings, including securing meeting spaces, preparing agendas, and taking minutes.
  • Assist in organizing company events, conferences, and other engagements, ensuring details are handled efficiently and professionally.
  • Support ongoing projects and initiatives by tracking progress, coordinating team members, and ensuring deadlines are met.
  • Conduct research, compile data, and prepare materials for meetings, reports, and presentations.
  • Coordinate complex travel arrangements, including flights, accommodations, and transportation.
  • Prepare detailed travel itineraries and ensure timely adjustments for any changes.
  • Handle sensitive and confidential information with discretion.
  • Represent the executive and company positively and professionally in all interactions.
  • Maintain records, documents, and files in an organized and accessible manner.
  • Serve as a liaison between the executive and various departments, as well as external contacts.
  • Perform other duties as assigned to support executive and organizational goals.

What we're looking for:

  • Bachelor's degree preferred, or equivalent experience in a related field.
  • Minimum of 6 years of experience in an executive support or administrative role.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with keen attention to detail.
  • Proficient in Google Workplace and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle multiple priorities and meet tight deadlines in a fast-paced environment.
  • Professionalism, discretion, and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision.
  • Flexibility in working hours as needed to support executive and business needs.
  • Adaptability to work effectively with a diverse team and various departments.
