The Executive Assistant provides high-level support to Qu's Executive leadership team, by managing daily schedules, coordinating meetings, handling correspondence, and facilitating executive-level activities to ensure smooth operations. The Executive Assistant provides high-level support to Qu's Executive leadership team, by managing daily schedules, coordinating meetings, handling correspondence, and facilitating executive-level activities to ensure smooth operations. This role demands a proactive, organized, and resourceful individual with excellent interpersonal skills and attention to detail.
At Qu you will:
- Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
- Prepare, edit, and format correspondence, reports, presentations, and other documents.
- Screen phone calls, emails, and other communications, responding on behalf of the executive when necessary.
- Schedule, coordinate, and organize internal and external meetings, including securing meeting spaces, preparing agendas, and taking minutes.
- Assist in organizing company events, conferences, and other engagements, ensuring details are handled efficiently and professionally.
- Support ongoing projects and initiatives by tracking progress, coordinating team members, and ensuring deadlines are met.
- Conduct research, compile data, and prepare materials for meetings, reports, and presentations.
- Coordinate complex travel arrangements, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and ensure timely adjustments for any changes.
- Handle sensitive and confidential information with discretion.
- Represent the executive and company positively and professionally in all interactions.
- Maintain records, documents, and files in an organized and accessible manner.
- Serve as a liaison between the executive and various departments, as well as external contacts.
- Perform other duties as assigned to support executive and organizational goals.
What we're looking for:
- Bachelor's degree preferred, or equivalent experience in a related field.
- Minimum of 6 years of experience in an executive support or administrative role.
- Excellent written and verbal communication skills.
- Strong organizational skills with keen attention to detail.
- Proficient in Google Workplace and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to handle multiple priorities and meet tight deadlines in a fast-paced environment.
- Professionalism, discretion, and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision.
- Flexibility in working hours as needed to support executive and business needs.
- Adaptability to work effectively with a diverse team and various departments.
