Hourly base pay rate is $28.08 - $42.12/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.
Job Description
Cox Communications is hiring for an Executive Assistant who will provide administrative support to the SVP of Sales and Service, the SVP of Cox Communities and the VP of Sales Strategy & Operations in the Residential Business Unit. The individual will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing their leader's daily schedule, and handling tasks on behalf of the leader as needed. Interactions and support will bridge across all divisions.
A high degree of responsiveness and independent judgment is required to plan, prioritize and organize in a fast-paced, rapidly changing environment.
What You'll Do
Along with what we just described; we've put together a list of some of the other things you'll need to do as an Executive Assistant. You'll:
* Provide full administrative support of SVP's and VP to keep them well informed of upcoming commitments and responsibilities, following up accordingly.
* Manages complex, changing calendars: using MS Outlook schedules and prioritizes meetings, appointments, rooms, equipment, catering and other resources.
* Coordinate department, team and leadership meetings and special events (both onsite and offsite) to include securing meeting space, handling all catering needs, audio visual, agendas, set-up, speaker coordination and arranging transportation if needed.
* Uses professional concepts, sound judgment and company policies and procedures to complete assignments and resolve problems.
* Process incoming mail to the department daily for proper handling of confidential documents. Directly support the team in processing time sensitive documents.
* Assist the procurement process for the department (P-Card support, ordering supplies, lunch voucher management, etc.) Prepare and code invoices for A/P processing.
* Coordinate onboarding support for new employees and/or contractors including ordering supplies, liaison with facilities to prepare office space and technology teams to coordinate equipment setup.
* Arrange travel and all accommodations (air, hotel, transportation) for leaders as required, including comprehensive and detailed itineraries.
* Prepares expense reports, written communications, reports, spreadsheets, and presentations which may require the gathering of data from internal and/or external sources.
* Attends staff and department meetings; records notes and creates a summary of the meeting, highlighting the significant issues, distributing meeting minutes and documents as assigned.
* Maintain employee reference lists and department organizational charts and assist with dissemination of internal communication as needed.
* Maintain and develop systems that organize and structure the work of the leader. Organize and maintain files/records on all matters, as appropriate while maintaining strict confidentiality.
* Serve as a liaison between the executive's team and other business units/departments.
* Integrate into and work with other assistants in support of leadership team. Serve as backup for their assistants as necessary.
* Coordinate special projects and perform other duties as assigned.
Who You Are:
Minimum
* High School Diploma/GED and 7 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years' experience; or 9 years' experience in a related field.
* Excellent interpersonal skills to work effectively with teams throughout organization.
* Must be detail-oriented, able to develop and maintain highly efficient work environment, effectively prioritize and have time management skills.
* Must have experience maintaining confidential, business, and sensitive personnel information.
* Strong written, and verbal communication skills to use sound judgment to field inquiries professionally and efficiently.
* Proficiency with digital devices and files and aptitude to quickly learn new technologies.
* Ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive.
* Demonstrated success working in high work volume, fast-paced and complex matrix environment and experience in building relationships, working collaboratively in a team environment.
* Experience with meeting planning and event logistics for large groups including virtual/remote meetings, calendar management, organizational, meeting coordination and project management skills.
Preferred
* Experience in the telecommunications industry.
