Compensation includes a base salary of $70,700.00 - $106,100.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.

Job Description

Cox is hiring a Senior Executive Assistant who will provide administrative leadership and support to the General Counsel of Cox Communications and direct reports as well as partner with other executive assistants to support the larger Law and Policy team. The individual in this role will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing the leaders' daily schedule, and handling tasks on behalf of designated leaders as needed.

The successful candidate must demonstrate a high level of integrity, professionalism and confidentiality, handling sensitive information with tact, discretion and judgment. A high degree of responsiveness and independent judgment is required to plan, prioritize and organize in a fast-paced, rapidly changing environment. You will be key to keeping leaders focused on business priorities by taking care of administrative details and tasks. This position involves a high level of visibility and interaction with senior leadership and a variety of other departments and business functions.

Primary Responsibilities and Essential Functions

* Manage calendars and provide full administrative support to the General Counsel of Cox Communications and direct reports.

* Coordinate department, team and leadership meetings and special events (both onsite and offsite) to include securing meeting rooms/space, handling all catering needs, audio visual, agendas, set-up, speaker coordination and arranging transportation (if needed).

* Process incoming mail to the department daily for proper handling of confidential documents, and directly support the team in processing time sensitive documents.

* Assist in the procurement process for the department (p-Card support, ordering supplies, lunch voucher management, etc.). Prepare (scan & submit) and code invoices for A/P processing.

* Coordinate onboarding support for new employees and/or contractors including ordering supplies, liaison with facilities to prepare office space or technology teams to coordinate equipment setup.

* Arrange travel and all accommodations for leaders as required including comprehensive and detailed itineraries.

* Prepares expense reports, written communications, reports, spreadsheets and presentations, which may require the gathering of data from internal and/or external sources.

* Attends staff and department meetings, records notes and creates a summary of meetings, highlighting the significant issues, distributing meeting notes and documents, as assigned.

* Maintain employee reference lists and department organizational charts and assist with dissemination of internal communications as needed.

* Maintain and develop systems that organize and structure the work of the leader. Organize and maintain files/records on all matters, as appropriate while maintaining strict confidentiality.

* Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.

* Serve as a liaison between the executives' teams and other business units/departments.

* Integrate into and work with other assistants in support of leadership team. Serve as a backup for other assistants, as necessary.

* Coordinate special projects and perform other duties as assigned.

* Work closely with the other Law and Policy executive assistants, including on Law and Policy events and initiatives.

Minimum Qualifications:

* Bachelor's degree in a related discipline and 2 years' experience in a related field. The right candidate could also have a different combination, such as a master's degree and up to 2 years' experience; or 6 years' experience in a related field.

* 5+ years of experience supporting Senior Executive level leader.

* Advanced knowledge/experience in Word, Excel, and PowerPoint.

* Proficiency with digital devices and files and an aptitude to quickly learn new technologies a plus.

* Exceptional organizational skills required; must be detail-oriented; have ability to prioritize and work independently.

* Demonstrated success working in a high work volume, fast-paced and complex matrix environment,

* Excellent calendar management skills and experience with meeting planning and event logistics for large groups (30+ attendees) including virtual/remote meetings.

Preferred Qualifications:

* Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive.

* Demonstrated experience maintaining confidentiality and discretion given the nature of the work.

* Demonstrated ability and experience in building relationships, working collaboratively in a team environment; ability to build coalitions and alliances across the enterprise.

* Critical thinker with strong eye for accuracy

* Excellent written and verbal communication skills; strong listening skills

* Professional demeanor and telephone manner essential

* Team-based interpersonal skills
