Job Description
The Executive Assistant is a highly visible position responsible for providing highly complex administrative support to various functional areas of the Company. The incumbent is also responsible for professionally and discretely managing a variety of projects and tasks requiring independent judgment, tact, diplomacy and confidentiality. The incumbent will engage with employees at all levels of the organization and with industry leaders, government officials and customers.
This position will serve our Enterprise Division, located in Atlanta, GA (Onsite with some hybrid flexibility).

This position will serve our Enterprise Division, located in Atlanta, GA (Onsite with some hybrid flexibility).
Responsibilities
- Represents the Executives and acts responsibly within pre-agreed limits, fully understanding the potential impact of the actions taken. Empowered to execute decisions, often acting as the liaison between the Executives with other internal and external parties.
- Researches, analyzes and interprets data from various sources. Prepares complex reports, as needed, including advanced graphics, charts and spreadsheets. May collect, edit and compile reports for Executive presentations.
- May participate in key Executive meetings and manage the documentation and follow-up process for all deliverables.
- Operates with a large degree of autonomy and independently completes high quality work to meet established goals with little supervision.
- Keeps the Executive informed, as needed and escalates issues or matters requiring immediate attention. Remains informed and up-to-date on factors affecting the Executive's area of responsibility, including client and industry knowledge or issues facing the Executive and the organization.
- Arranges complex and detailed international and domestic travel plans and itineraries. Anticipates travel needs for the Executive and independently coordinates complex travel arrangements, typically involving multiple changes or destinations based on understanding the Executive's availability and obligations. Ensures necessary travel documents, including passport, immigration and visa documentation is processed and provided to the Executive in a timely manner.
- Manages and maintains complex calendars and coordinates appointments, meetings and conference calls for the Executive, which may include extensive rescheduling. Effectively manages calendars by appropriately scheduling, coordinating and confirming appointments for the Executive.
- Manages all aspects of meeting planning, communication and logistics including onsite and offsite meetings and events, conference room scheduling, audio visual set up and break down.
- May assist with the development of meeting agendas, content and presentation materials. Assists with the management of the Executive's budget and expenses. Performs accounting functions necessary to achieve departmental goals often requiring interaction with accounts payable and account receivable.
- Processes complex expense reports.
- Consistently acts as a role model for others.
- Acts as a coach to less experienced workers.
- Performs other duties as assigned.
Qualifications
- High School Diploma or equivalent.
- 3+ years' experience in business or executive personal assistance.
- Possesses competence, initiative, and business acumen necessary to support the Executives and organization at the most effective level.
- Highly experienced in Executive level protocol.
- Extensive experience coordinating all aspects of international and domestic travel.
- Excellent communication, negotiation, and interpersonal skills to ensure adequate communication is professional courteous, clear, and concise.
- Exceptional interpersonal skills. Adept at building and sustaining influential work relationships within the organization and through our external partnerships.
- Effectively manages conflicting priorities, copes well under pressure, works well during time constraints.
- Proactively addresses issues, resolves problems, makes appropriate recommendations, or proposes acceptable alternative solutions.
- Strong organizational skills and attention to detail.
- Demonstrates flexibility and willingness to work unpredictable and occasionally late hours or weekends.
- Ability to handle confidential information in a discreet and professional manner.
- Consistently makes sound business decisions.
- Advanced computer skills and in-depth knowledge of relevant software such as MS Office Suite and Visio.
