Position Summary

In this role, you will provide administrative support to the Chief of Staff and General Counsel within a growing behavioral health network. This role ensures smooth communication across multiple functions, including Legal, Compliance, Public Policy, Grants, and Project Management, acting as a trusted partner to leadership. The Executive Assistant supports leadership in a mission-driven organization focused on improving access to mental health and substance use treatment. You will collaborate with a dynamic leadership team on impactful projects, gain exposure to various organizational functions, and have opportunities for professional growth while working closely with a mentor-focused leader. Qualifications

  • High School Diploma required; Bachelor’s Degree in a related field of study preferred
  • Demonstrated experience as an Executive Assistant, preferably supporting executives in a healthcare or nonprofit organization
  • Exceptional organizational, time management, and multitasking skills
  • Strong written and verbal communication abilities
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools
  • High level of professionalism, discretion, and adaptability
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Belief in the mission and vision of Rosecrance

Responsibilities

  1. Work hours prescribed and any additional hours deemed necessary for the responsibilities assigned.
  2. Manage daily administrative operations, including scheduling meetings, coordinating calendars, preparing agendas, drafting correspondence, and ensuring timely follow-ups.
  3. Serve as a shared resource for the leadership team, providing assistance on projects and administrative tasks across supervised functions.
  4. Prepare, edit, and manage documents, presentations, and reports for internal and external audiences.
  5. Organize and facilitate meetings, including leadership team sessions, board meetings, and strategic planning retreats, ensuring all materials are prepared, logistics are managed, and action items are tracked.
  6. Act as a liaison between leadership, internal departments, and external stakeholders to ensure timely communication and resolution of inquiries.
  7. Assist with project management tasks, including tracking deadlines, monitoring progress, and ensuring deliverables are completed.
  8. Support the preparation and organization of reports related to grants, compliance, performance improvement, and other key initiatives.
  9. Handle sensitive information with discretion and professionalism, ensuring confidentiality in all matters.
  10. Perform all responsibilities in compliance with the mission, vision, values, and expectations of Rosecrance.
  11. Deliver exceptional customer service consistently to every customer.
  12. Serve as a role model for other staff, clients and customers and demonstrate positive guest relations in representing Rosecrance.
  13. Assume other related responsibilities as assigned by leadership.

Schedule

  • Hours: Monday - Friday; 8:30am - 5:00pm (40 hours per week)
  • Shift: 1st shift

Compensation & Rewards

  • Base Pay: Starting at $21.32/hour (pay is based on education, experience, and credentials)
