Job Title: Executive Assistant to the President

The Executive Assistant will play a critical role in supporting the President and ensuring the smooth operation of the business.

Position Summary:
The Executive Assistant to the President will serve as the primary point of contact and administrative support for the President. This role requires exceptional organizational skills, proactive problem-solving, and the ability to handle confidential information with discretion. The ideal candidate is a self-starter who thrives in a multitasking environment and can adapt to changing priorities.

Key Responsibilities:

Administrative Support

  1. Manage the President's calendar, including scheduling meetings, coordinating appointments, and prioritizing time-sensitive tasks.
  2. Prepare and organize meeting agendas, notes, and follow-up materials.
  3. Handle correspondence, e-mails, calls, and written communications on behalf of the President.

Project Management

  1. Assist in tracking key projects and initiatives to ensure deadlines are met.
  2. Research, compile, and present data or reports as requested.
  3. Act as a liaison between the President and team members to ensure alignment on priorities.

Travel and Event Coordination

  1. Arrange travel plans, itineraries, and accommodations for all traveling team members.
  2. Coordinate logistics for company events, meetings, and off-site engagements.

Operations Support

  1. Maintain and organize company records and documentation.
  2. Assist with administrative tasks related to budgeting, vendor management, or procurement.
  3. Support HR and team activities, such as onboarding and team-building events.

Other Duties as Assigned

  1. Handle projects or tasks as needed to support the company’s operations and growth.

Qualifications:

  1. Bachelor’s degree preferred or equivalent experience.
  2. 3+ years of experience as an Executive Assistant or similar role, preferably in a small business environment.
  3. Exceptional organizational and time management skills.
  4. Strong written and verbal communication abilities.
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  6. Ability to multitask and prioritize effectively in a fast-paced environment.
  7. High degree of professionalism, discretion, and confidentiality.
