JOB SUMMARY

As the Executive Assistant, you will be offering support to the Chief Executive Officer (CEO). You are responsible for daily calendar management for both business and personal activities. You must be able to manage multiple projects, wear multiple hats and provide exceptional client service.

DUTIES AND RESPONSIBILITIES

  • Be contact with department heads, executives, investors, financiers, and owners.
  • Manage business and personal travel - Air, hotel, transportation, reservations, and prepare itineraries for CEO.
  • Business and personal calendar management –Review and confirm all calendar appointments ahead of time. Collect supporting documentation, and past communications and ensure the CEO is prepared. Continuous monitoring of appointments/meetings is required to provide appointments/meetings and activities do not conflict and that CEO’s time is maximized.
  • Prepare, reconcile, review, and submit expense reports.
  • Monitor e-mail correspondence and follow-up as required.
  • Coordinate contracts and signatures.
  • Assist with business and personal projects and follow-up to ensure progress to the deadline
  • Discreet handling of all business and personal details/finances. Handle/pay private bills.
  • Available during and after business hours for any additional support necessities.
  • Book all personal appointments for the CEO.
  • Maintains confidentiality with information, documents, and relationships.
  • Exhibits meticulous planning and organizational skills while balancing multiple priorities.
  • Prioritizes and plans work activities.
  • Efficiently uses the time to identify short and long-term priorities and responds to schedules of others.
  • Identifies and resolves problems promptly.
  • Speaks clearly and persuasively in positive or negative situations; Listens and gets clarification; Responds well to questions.
  • Treats people with respect; Works with integrity and ethics; Upholds organizational values.

  • Demonstrates accuracy and thoroughness.
  • Print out weekly/monthly reports for CEO. Such as weekly pricing modules, monthly preliminary financials for review by CEO and returned to an accountant, monthly delinquency reports, monthly scorecards and any other reports needed by the CEO.

EDUCATION AND EXPERIENCE

  • Education: Bachelor's degree is preferred.
  • Experience: 5 years of experience supporting “C” level executives.
  • Advanced Skills with Microsoft Office Suite.
