Job Description
Position Overview:
A full-time Executive Assistant plays a crucial role in our organization, providing essential support to the CEO, COO, and Board. The Executive Assistant's responsibilities span executive operations and divisional special projects, making their contributions invaluable. This fast-paced and varied position requires a leadership mindset, project management skills, agility in a dynamic environment, and collaborative interpersonal ability. The ideal Executive Assistant is a self-starter who takes initiative and can lead various projects from concept through execution while managing executive operations.
Core Responsibilities:
• Provide operational and logistical support as requested by the CEO and COO, including but not limited to schedule management, communications drafting and management, travel planning, and expense reporting.
• Maintain an accurate and up-to-date strategic partnership revenue pipeline.
• Support the CEO and COO by conducting research, analyzing information, and preparing briefings to facilitate decision-making.
• Manage PFI's policy development and training program.
• Coordinate with the Board Chair to prepare and organize quarterly (2 virtual, two in-person) Board of Directors and committee meetings, including meeting agendas, materials, and logistics.
• Coordinate with Board and Committee Chairs, Senior Management, and staff to ensure timely board and committee meeting materials.
• Serve as Assistant Secretary to the Board of Directors, attending virtual and onsite meetings to record minutes and manage logistics.
• Plan the agenda and coordinate logistics for key ministry-wide events, such as monthly All Staff meetings.
• Lead planning, execution, and delivery of assigned special cross-divisional projects, ensuring performance to schedule, budget, and quality excellence.
• Develop leadership and project management capabilities in preparation for increasing levels of responsibility and leadership.
• Assist the Talent Manager in organizing and hosting company events and annual celebrations, contributing to office culture and morale.
Requirements:
• Must be able to sign "Statement of Faith"
• Strong project management skills with the ability to collaborate, drive performance, and navigate challenges with resilience and adaptability.
• Excellent verbal and written communication skills, with the ability to effectively convey complex information to diverse stakeholders at all levels of the organization and influence leadership action.
• Proficiency in data analysis, problem-solving, and decision-making, with attention to detail and the ability to think strategically and exercise sound judgment.
• Ability to thrive in a dynamic and fast-paced environment, managing multiple priorities and adapting to changing circumstances with composure.
• Strong relational skills with a team-oriented approach, able to build relationships, work effectively cross-organizationally, and maintain confidentiality.
Experience & Education:
• 1-3 years of experience in project management or related roles, demonstrating progressively increasing levels of responsibility and leadership.
• Previous experience working in an administrative support role for senior leadership.
• Bachelor's degree in a relevant field.
• Proficiency in MS Office Suite and Google applications, Smartsheet, and Box, as well as an understanding of Salesforce.
Work Status
• Full-time in-office position located at the PFI HQ in Ashburn, VA.Possible "structured hybrid" after successfully completing the first three months in the position
• Must live in the DC metro area or be willing to relocate.
