MUST:


Experience Executive Assistant

Active DoD Secret Clearance

5+ years of professional experience with administrative assistant / office management

2+ years working as an Executive Assistant in the DoD or Federal space

Proficient with Concur Travel systems

Proficient with MS office suite to include Outlook, SharePoint and Teams

Excellent communication skills both written and verbal

Strong interpersonal skills and able to handle of levels of clients

Strong problem solving skills

Strong organization skills and ability to multitask

Strong ability to keep a schedule

Bachelor's Degree from an accredited university



DUTIES :

The ideal candidate will oversee and handle day to day administrative task for senior leadership :

- Help with performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings

- Handle all document requests and correspondence for internal and external requests in accordance with applicable policies and procedures

- Conducting research, preparing reports, responding to information requests

- Writing and editing memos, developing spreadsheets, filing, and copying documents

- Compiling correspondence, briefing materials, talking points, and reports for review/approval by Government staff

- Coordinate, schedule and track all meetings and events and maintain necessary calendars (to include priority management of request) for senior staff

- Reviewing and confirming meeting invitations include the correct title, purpose, agenda, documents, and appropriate list of attendees

- Taking meeting minutes/notes, providing executive summaries and action items for government approval, and distributing once approved

- Reviewing/analyzing accuracy of grammar, spelling, punctuation, and clarity of writing for internal and external communication

- Conducting off-site meeting venue research, as needed

- Planning and facilitating working sessions and other efforts as requested by Government staff

- Organizing briefing materials and action items by preparing binders or as requested by Government staff
