This position will support the areas of administration, accounting, and payroll support. The Accounting Assistant is not only primarily responsible for all accounting support and payroll processing but is also cross-trained on all administrative and financial functions within the organization in order to provide sufficient backup as assignments and workloads may vary. The Accounting Assistant will be responsible for ensuring accurate and timely payments of all accounts payable transactions.
Accounts Payable Responsibilities
- Research and resolve accounts payable issues with customers or vendors
- Verifying invoice accuracy, recording and paying bills using computerized accounting system (Winteam)
- Provide support with month-end close and Credit Card reconciliation.
- Ensuring all payable accounts are current; processing monthly/recurring runs
- Light filing and scanning
Payroll Responsibilities:
- Must ensure that all timesheets are sent and received by remote/field employees on a weekly basis while validating signatures and dates.
- Coordinate with field supervision on a daily basis for the management of timesheets.
- Complete the data entry of certified payroll.
- Manage and enroll employees in direct deposit and prepaid cards.
- Sort and distribute payroll checks on a weekly and biweekly basis.
- Manage and distribute faxes. Scan and file A/P, A/R, and payroll documentation.
- May be required to attend off-site special events and manage timesheet collection during the summer
Requirements:
- 3 years or more with experience providing payroll and administrative support
- Familiar with accounting and clerical/office procedures including financial principles.
- Use and familiarity with various billing and accounting software.
- Accounts Payable and General Accounting Experience
- Proficiency in Microsoft Word, Excel, Outlook
- Ability to handle time-sensitive and confidential materials.
- Strong communication, analytical, and computer skills.
- Good organizational skills and ability to prioritize work in order to meet continual deadlines while making allowances for interruptions.
- Must be detail-oriented with a high degree of accuracy.
- Must be knowledgeable in processing full-cycle in-house payroll.
- This person should be a self-starter and eager to work productively and efficiently in a fast-paced office
