Accounting Assistant

We are looking for an experienced and detail-oriented Accounting Assistant to join our dynamic team. In this role, you will administer accounts receivable and payroll processing, ensuring accuracy, efficiency, and compliance in a fast-paced environment. REPORTS TO: Accounting Manager
SALARY / GRADE LEVEL: Salaried / Exempt
This role is HYBRID, requiring three days in-office per week

JOB RESPONSIBILITIES / DUTIES:

Accounts Receivable (AR):
  • Monitor customer accounts for overdue payments and initiate collection efforts.
  • Reconcile AR ledger to ensure accurate reporting and account balances.
  • Prepare and analyze aging reports to track payment trends.
  • Maintain thorough documentation of customer interactions and payment records.
  • Generate and distribute accurate invoices, remittances, and credit memos in a timely manner.
  • Accurately apply all forms of payment receipts, including checks, ACH, wire transfers, and credit card payments.
Payroll:
  • Process payroll accurately and on schedule, including calculating hours, overtime, deductions, and benefits.
  • Ensure compliance with federal, state, and local payroll taxes and reporting regulations.
  • Maintain and update employee payroll records and tax information.
  • Handle payroll inquiries and resolve discrepancies promptly.
  • Generate payroll reports for management and audits.
  • Assist with year-end reporting, including W-2s and tax filings.

ESSENTIAL REQUIREMENTS:
  • Experience performing AR and payroll processing or similar experience.
  • Proficiency in accounting software (Restaurant 365) and payroll systems (Toast), a plus.
  • Strong knowledge of accounting principles and payroll regulations.
  • Advanced skills in Microsoft Excel (pivot tables, formulas, etc.).
  • Exceptional attention to detail and accuracy.
  • Strong organizational skills and ability to manage multiple deadlines.
  • Flexibility may be required during peak times (e.g., month-end close or payroll deadlines).
  • Effective communication and interpersonal skills.
