Job Title: Legal Secretary/Legal Assistant

Key Responsibilities:

  • Administrative Support:
  • Transcribe legal documents, correspondence, and reports from dictation accurately and efficiently.
  • Draft, proofread, and finalize legal documents such as pleadings, motions, and correspondence.
  • Manage and prioritize multiple tasks, ensuring timely completion.
  • Office Management:
  • Oversee front office operations, including scheduling appointments, answering phones, and greeting clients.
  • Maintain and organize office files, supplies, and records.
  • Coordinate calendars, including attorney schedules, court dates, and client meetings.
  • Paralegal Duties:
  • Organize and maintain case files, documents, and correspondence.
  • Conduct legal research and gather information to assist in case preparation.
  • Prepare and file legal documents with courts and other entities.
  • Communicate with clients, opposing counsel, and other stakeholders regarding case updates and requests for information.
  • Maintain client confidentiality and ensure adherence to legal procedures.



Qualifications:

  • Proven experience as a Legal Secretary, Legal Assistant, or Paralegal, preferably in a small law office setting.
  • Proficient in dictation transcription with a high degree of accuracy.
  • Strong knowledge of legal terminology, processes, and document preparation.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with legal case management systems.
  • Ability to work independently and manage front-end office responsibilities.

Preferred Qualifications:

  • Certification or formal training in paralegal studies.
  • Experience with local court systems and filing procedures.
