Job Title: Legal Secretary/Legal Assistant
Key Responsibilities:
- Administrative Support:
- Transcribe legal documents, correspondence, and reports from dictation accurately and efficiently.
- Draft, proofread, and finalize legal documents such as pleadings, motions, and correspondence.
- Manage and prioritize multiple tasks, ensuring timely completion.
- Office Management:
- Oversee front office operations, including scheduling appointments, answering phones, and greeting clients.
- Maintain and organize office files, supplies, and records.
- Coordinate calendars, including attorney schedules, court dates, and client meetings.
- Paralegal Duties:
- Organize and maintain case files, documents, and correspondence.
- Conduct legal research and gather information to assist in case preparation.
- Prepare and file legal documents with courts and other entities.
- Communicate with clients, opposing counsel, and other stakeholders regarding case updates and requests for information.
- Maintain client confidentiality and ensure adherence to legal procedures.
Qualifications:
- Proven experience as a Legal Secretary, Legal Assistant, or Paralegal, preferably in a small law office setting.
- Proficient in dictation transcription with a high degree of accuracy.
- Strong knowledge of legal terminology, processes, and document preparation.
- Excellent organizational and multitasking skills.
- Strong communication skills, both written and verbal.
- Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with legal case management systems.
- Ability to work independently and manage front-end office responsibilities.
Preferred Qualifications:
- Certification or formal training in paralegal studies.
- Experience with local court systems and filing procedures.
