Key Responsibilities
Administrative Support
- Answer phone calls, take messages, and handle correspondence.
- Schedule and coordinate meetings, appointments, and events.
- Prepare reports, presentations, and other documents as required.
Office Management
- Maintain and organize office files, records, and databases.
- Order and manage office supplies.
- Liaise with vendors, service providers, and building management as needed.
Communication
- Act as the first point of contact for clients, visitors, and staff.
- Draft and edit communications, including emails, memos, and letters.
- Ensure the timely dissemination of information to relevant parties.
Coordination
- Manage the supervisor's calendar and ensure timely reminders of appointments.
- Coordinate travel arrangements and itineraries.
- Assist in planning and organizing departmental activities or events.
Other Duties
- Handle confidential information with discretion.
- Support special projects and initiatives as assigned.
- Perform general clerical duties such as photocopying, faxing, and mailing.
Skills, Knowledge and Expertise
- High school diploma or equivalent; associate’s degree or administrative certification preferred.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Ability to multitask and work under pressure.
- Attention to detail and problem-solving skills.
