POSITION: 11 Month Building Secretary

TERMS OF EMPLOYMENT: 48 week (off the month of July)

RESPONSIBLE TO: Building Administrator (Principal)

JOB SUMMARY:

Under the direction of the principal, performs a variety of clerical and other support work involving specific routines and procedures. Must ensure accurate attendance record keeping and demonstrate exceptional customer service. Will work cooperatively with staff, students, and parents, ensuring all interactions are respectful, courteous, and solution-focused to foster a welcoming school environment. Will assist and support the school administrator in running the school successfully. The building secretary's attendance must be adequate to perform the essential job functions listed below. Bilingual abilities in one or more of the following languages are preferred: Spanish, Gujarati, Hindi or Tagalog

RESPONSIBILITIES INCLUDE:
  1. Enforce the school attendance policy, including phone forgeries and notices.
  2. Manage attendance procedures to ensure materials are available, files are organized and work is completed daily
  3. Reconcile attendance daily
  4. Run a variety of queries and reports in the student information system as requested by supervisor
  5. Meet and interact with the public and staff in routine situations that are effective and positive which require tact, discretion, respect and courtesy
  6. Provide a variety of clerical duties and ability to operate a variety of office machines
  7. Ordering and maintaining supplies for students, office machines and other materials for building, prepares Laserfiche requests for purchases, and reconciling receipts accordingly
  8. Give information and interpretations of policies or procedures related to departmental or school activities to families; this requires notification families via email and/or all calls regarding important information
  9. Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems within established timelines
  10. Sort and classify incoming mail and other information for efficient disbursements to appropriate recipients
  11. Prepares, updates, and distributes letters, memos, reports, bulletin boards, handbooks, questionnaires, newsletters, flyers, social media and other printed material including updating school calendar and other materials either electronically or hard copies
  12. Prepare accurate minutes of meetings with action steps (when able)
  13. Ability to handle confidential information with complete security
  14. Maintain office bulletin boards
  15. Assist with emergency drills
  16. Enroll and discharge students in Infinite Campus and accurately maintain all aspects of Infinite Campus
  17. Process student request records and distribute school records/process transfers
  18. Maintain classroom key distribution list
  19. In the absence of the school nurse, the school secretary will assist students with minor injuries or illnesses, first aid and CPR
RESPONSIBILITIES INCLUDE (continued):
  1. Provide exemplary customer service to students, parents, staff, and visitors by addressing inquiries and concerns promptly and professionally, and ensuring a positive and supportive experience
  2. Maintain calendars (website, events etc.) and enter work orders for event set ups
  3. Assist and support school administrators in running the school successfully
Proficient with district software systems: Infinite Campus (attendance, registration, scheduling students)

Processing daily attendance and tardies (calling parent/guardian for absences/tardies)
  1. Proficient with Google: how to manage files in Google Drive, create custom formatting in Docs, and know how to merge or edit data within Sheets
  2. Prepare data for governmental reports
  3. Prepare lunch/breakfast reports monthly
  4. Prepare report cards/progress reports
  5. Coordinate all Honor Roll duties (reports, certificates)
  6. Present at Parent/Teacher conferences (evening)
  7. Participates in staff development as required
  8. Bilingual preferred: Spanish, Gujarati, Hindi or Tagalog
  9. Perform other duties that may be assigned by the administrator

WORK SCHEDULE: 230 work days per year (this is an 11 month position and flexibility for some additional work days in the month of July)

SALARY & BENEFITS: Salary will be commensurate with experience (range $36,000 - $45,000); benefits as established annually by

District 91
  • This position has been determined as an IMRF-qualified position. Participation in IMRF is not optional for employees in positions that meet IMRF qualification standards.
  • Member and employer contributions are a legal requirement for governmental units participating in IMRF. These contributions are calculated as a percentage of monthly wages. Member contributions are a condition of employment for covered employees and will be deducted when wages are paid.
