Job Description
Small insurance defense firm interviewing for experienced legal secretary capable of managing heavy case load. Responsibilities include opening and maintaining files, scheduling depositions and meetings, obtaining records, arranging calendars, monitoring discovery, preparation of pleadings, transcribing legal dictation, typing handwritten reports and correspondence, time entry using Timeslips, answering phones, processing mail, client contact in person and by phone and email.

MINIMUM QUALIFICATIONS
- High school graduate minimum
- A positive attitude
- Strong grammar and spelling skills
- Strong organizational skills and attention to detail essential
- Ability to multi-task effectively
- Ability to work independently
- Ability to follow oral and written instructions and established office procedures
- Good communication skills to converse directly with attorneys, clerical personnel, clients, and witnesses
- Knowledge of legal office procedures
- Knowledge of civil litigation
- Understanding of legal terminology
- Knowledge of court procedures for filing documents, including fee schedules, Local Rules, and obtaining hearing dates and tentative rulings
- Proficiency in legal calendaring (appearances and limitations)
- Computer proficiency including WordPerfect, Microsoft Word, Outlook, Excel, Timeslips
- Available Full Time (40 hours per week/5 days)
PRIMARY FUNCTIONS
- Maintain client confidence by keeping client/attorney information confidential
- Organize and maintain all legal files kept on-site
- Maintain a working knowledge of cases and parties involved, particularly clients
- Accurate preparation of documents, including correspondence, pleadings, court forms
- Preparation of documents for court filing and/or service including proper formatting, table of contents/authorities, proof of service
- Maintain attorney calendar by planning and scheduling conferences, depositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements
- Schedule couriers, court reporters, witnesses
- Represent attorney by communicating directly with clients, counsel, witnesses, and obtaining information
- Follow up on delegated assignments
- Know when to act and when to refer matters to attorney
