Looking for substitute secretaries and office staff for District Office and our five schools to assist our Administrators, Principals and staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Makes and receives telephone calls, takes messages, routes calls.
Maintains school records and files for building, principal and related requirements.
Distributes mail. Greets visitors.
Types, prepares, distributes, files records/reports, correspondence, mailings etc. related to building functions and principal's needs.
Orientates substitute teachers.
Processes attendance for the building staff.
Takes/transcribes notes for correspondence..
Schedules use of building.
Orders, processes, and maintains office and educational materials, supplies & equipment.
Serves as confidential secretary to the principal.
Can exercise patience in dealing with parents and children.
Operates modern office equipment including a PC and related software including but not limited to WORD, EXCEL, Outlook. Must be comfortable using web-based applications.
Distributes community/district flyers.
Works with the Principal and building staff to maintain a safe and secure environment in the school building.
Registers and obtains records of incoming students; transfers and sends records of outgoing students.
Performs related duties as required..
EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED); one to three months secretarial and/or school district office experience preferred.
SKILLS AND ABILITIES
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
Ability to speak effectively before groups of people.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to maintain confidentiality.
Ability to communicate clearly and concisely, both orally and in writing.
Ability to perform duties with awareness of all district requirements and Board of Education policies.
Ability to establish and maintain effective and cooperative working relationships.
Ability to Type at 55 words per minute.
Ability to maintain complete accurate records and prepare reports.
Ability to perform basic book keeping.
