POSITION DESCRIPTION
POSITION TITLE: Sub Secretary
DIVISION: Administrative Services DEPARTMENT: Elementary/Secondary Education
DAYS SCHEDULED: As needed-Temp
REPORTS TO: Building Principal
I. GENERAL DESCRIPTION
Performs many clerical tasks requiring broad knowledge of office practices and procedures.
II. EXAMPLES OF DUTIES AND RESPONSIBILITIES
A. Acts as receptionist for building and operates phone and intercom system.
B. Assists substitute personnel when they report to building.
C. Assists teachers with correspondence and reports as approved by the principal.
D. Maintains bookkeeping system using an on-line accounting system.
E. Keeps accurate enrollment and withdrawal records. Requests records from pupil's former school and sends records to district office or receiving schools of students who move.
F. Assists cashierwith daily deposit and accounting.
G. Requisitions all supplies and materials; maintains adequate supply of expendable materials.
H. Completes daily, weekly, monthly and yearly reports.
I. Maintains records and collection of book fees and medical cards.
III. TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS
A. Training and experience should be equivalent of that normally received by graduation from high school.
B. Good knowledge of modern office practices, current office software, procedures and of business English, spelling, and related subjects.
C. Skill in keyboarding, maintaining office files and records, and compiling reports from standardized information.
D. Maintain effective working relationships with district personnel at all levels, ability to meet the public and other visitors to the district and/or schools, ability to exercise sound judgment in making administrative decisions.
E. Must be able to operate, photocopying machinery, fax machine, computer keyboard, printer, calculator, telephone equipment, and other office machinery, and perform alphabetizing and filing tasks.
In addition, as an organization/community that reflects and appreciates diversity, bilingual communication skills are noted and valued.
