Building Level - Front Office Secretary

Position Purpose

Under the direct supervision of the Principal, to provide a wide variety of complex and confidential secretarial support, communicating information to school employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and district policy requirements.

Essential Functions:
  • Prepares, copies, and distributes notices, memoranda or other correspondence for the purpose of informing students, parents, and others regarding activities, events or other work-related matters.
  • Records and monitors student check-in and check-out procedures, ensuring the safety of all students during that process.
  • Enters daily attendance that comes from doctors' notes and parent phone calls. Enters attendance into eschool that is provided from LobbyGuard.
  • Sorts daily mail and delivers it to appropriate personnel.
  • Assists in maintaining documents, files and records in student files.
  • Answer phones, take messages for teachers and administration and making sure those messages are delivered in a timely fashion via email.
  • Prepares report cards to be sent out on a quarterly basis.
  • Taking payments from parents, entering them into the system and providing receipts for each transaction.
  • Prepares a weekly deposit from payments received.
  • Maintains copy machines, keeping track of supplies that are needed and submitting a PO for supplies when appropriate.
  • Maintains security of front loby and entrance to building.

Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the building

  • Ability to maintain confidentiality of information regarding students, employees and others.

  • Knowledge of office management procedures.

Qualification Profile
Hence providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Graduation from high school.
  • Experience in an office environment required.
  • Experience in a school environment preferred.
