Temporary Litigation Secretary in Walnut Creek, CA Office
Location: Walnut Creek, CA
Schedule: Full-Time, Monday to Friday, 8:30 AM - 5:00 PM
Salary: $65k-$75k annually
Position Type:
Temporary, with the possibility of becoming permanent after 3 months. The Walnut Creek office of a statewide law firm seeks an experienced Litigation Secretary to join our team. This is a full-time, temporary position with the potential to transition into a permanent role after three months.
About the Role
We are looking for a team player with at least 3 years of experience supporting attorneys and paralegals in litigation. Corporate experience is appreciated but not required. Our ideal candidate is self-motivated, detail-oriented, and excels at maintaining positive connections with vendors and clients. You should be comfortable in high-pressure environments, able to anticipate needs, and keep attorneys informed of upcoming deadlines.
Responsibilities
- Draft, edit, proofread, and process legal documents, including correspondence, memoranda, templates, pleadings, and filings.
- Manage legal files (both paper and electronic), including organization, redaction, formatting, and maintenance.
- Handle incoming mail and ensure timely routing to attorneys or relevant staff.
- File and e-file documents in state and federal courts, including preparing TOAs/TOCs, and assist with coordinating hearings, depositions, and other events.
- Demonstrate knowledge of legal codes, court procedures, and agency rules applicable to the practice group or department.
- Prepare check requests and coordinate vendor payments as necessary.
- Provide back-up support to legal assistants during planned or unplanned absences and assist with overflow tasks.
- Maintain composure and deliver accurate work under high-stress situations.
- Work collaboratively and professionally with all firm employees.
Requirements
- A minimum of 3 years of litigation experience is required.
- Proficiency in ProLaw, FormBuilder, NetDocuments, and Microsoft Office.
- Strong organizational skills with attention to detail.
- Ability to handle multiple tasks, take direction from various sources, and thrive in a collaborative team environment.
- Punctual and reliable, with regular on-site attendance (a hybrid schedule may be considered).
- Professional demeanor, confidence, and the ability to work effectively with a wide range of personalities.
