Data Secretary (12) Central Registration.

Qualifications:

  • Associates degree or highter in secretarial science, data management or a related field
  • Two years’ experience in secretarial and/or data management.
  • Bilingual Spanish is required.
  • Strong computer skills with focus on payroll/benefits software preferred.
  • Expertise in the Microsoft Office environment
  • Ability to work independently and to prioritize complex and at times, competing, job demands.
  • Ability to communicate effectively with staff, administrators and the Board of Education.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Ability to perform duties with awareness of, and to adhere to, all District requirements and Board of Education policies and the State of Connecticut Educator Standards.


Responsibilities include:

  • Carries out duties and responsibilities with limited supervision. Makes decisions and establishes work priorities on essentially procedure-oriented operations.
  • Performs internet research and uses and troubleshoots the latest technology in offices.
  • Works on personal computers to develop spreadsheets, write correspondence, supervise databases, and produce presentations, reports, and documents using desktop publishing software and computer graphics.
  • Possesses substantial knowledge of technical terminology and procedures in order to carry out highly specialized work.
  • Possesses knowledge of computer programs dealing with spreadsheets, word processing, and database management.
  • Creates, enters, and manipulates data in a computerized database.
  • Compiles data from a wide variety of diversified sources (e.g., agenda items, materials submitted by other departments or staff members, incoming mail and documents, budget requests, specific budget categories, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Maintains a wide variety of documents, files, and records (e.g., purchase orders, invoices, facility billing, transportation routes, professional development databases, information in absence management system, web calendar for trainings, facilities databases, etc.).
  • Manages information (e.g., course registrations; course attendance; conference requests; facility use requests; field trip requests; completion records; residency records; general office matters, including mail, purchase orders, mileage, phones, etc.) for the purpose of supporting operations of the department(s) and meeting the local, state and federal requirements.
  • Welcomes, registers and facilitates a smooth transition for students who are new to the Torrington Public Schools
  • Provides up to date information to families regarding the enrollment process through the Torrington Public Schools website. Responds to parent inquiries in a timely fashion.
  • Prepares and maintains up to date information and enrollment packets as Torrington Public School Policy and state regulations require.
  • Receives and reviews enrollment information including verification of residency and birth certificates and requests for records, transcripts, etc.; obtains verification from nursing staff that all required medical forms are up to date and complete.
  • Enters all enrollment information into the District's database, maintains files and refers materials to appropriate staff, i,e,; medical records to the nurse, IEPs to Special Services, completed packets to the appropriate school, etc.
  • Act as a liaison between families, schools, and central registration regarding the enrollment process.
  • Provide superior customer service to all visiting guests, parents and students. Answer questions politely and appropriately.
  • Serves in an administration support capacity for the Assistant Superintendent and the Facilities Director, as directed by the Assistant Superintendent.
  • Greet persons entering Central Office and direct to correct destination.
  • Deal with queries from the public and visitors.
  • Ensures knowledge of staff movements in and out of Central Office.
  • Receive, sort and distribute incoming mail and deliveries. Meter and process all outgoing mail.
  • Perform all other general administrative and clerical duties as directed.


SALARY AND TERMS OF EMPLOYMENT: 12-month position; Salary in accordance with the collective bargaining agreement between the Torrington Board of Education and AFSCME Council 4 Local #1579 – Secretaries
