ESSENTIAL JOB FUNCTIONS
- Provides general secretarial and administrative assistant support to the administrative staff at CEFM (i.e., Program Director, Clinic Director, Associate Director, Program Coordinator, Faculty, Residents, etc.).
- Processes and tracks accounting, purchasing, and materials tasks (i.e., travel, invoices, purchase orders, CME funds).
- Assists faculty lead in coordinating lunch training which includes working with faculty to schedule speakers, preparing room with IT requests daily, catering and clean up after lunch, when necessary.
- Responsible for office supply ordering & distribution for clinic and residency, catering & space management for all CEFM conference rooms.
- Manage the residency Instagram & Twitter accounts. coordinating content, getting photos, posting content to the feed & stories, responding to messages, engaging with other accounts
- Coordinates all aspects of meeting set up for Program Director, Clinic Director, Associate Director, Program Coordinator, Faculty & Residents as requested.
- Creates & Maintains EPIC & Physical box coverage for Residents and Faculty that are out of the office/on vacation.
- OVERS Administrator contact for residency & clinic. Creates & maintains profiles with the state and troubleshoots issues with Med Records Dept.
- Responsible for ensuring the cleanliness & orderliness of conference rooms.
- Answers telephones, routes calls, and takes messages appropriately and professionally.
- Greets visitors and guests.
MARGINAL JOB FUNCTIONS
- Performs all other clerical, secretarial, and support duties as assigned.
