LODI UNIFIED SCHOOL DISTRICT CLASS TITLE: HIGH SCHOOL SECRETARY I BASIC FUNCTION: Perform a variety of secretarial and clerical functions; coordinate school office activities; perform public relations and communication services for a High School Assistant Principal. REPRESENTATIVE DUTIES: Individual positions may not perform all of the duties listed nor do these examples include all responsibilities of positions in this class. Perform secretarial duties usually in support of a high school Assistant Principal, relieving the supervisor of routine administrative detail; independently compose correspondence as directed. E Type a variety of correspondence, reports and other material including those of a confidential nature; take minutes at committee and group meetings. E Schedule and coordinate meetings, appointments and conferences; screen visitors; open, sort and screen mail for administrator; distribute to appropriate staff. E Prepare and process specialized forms, packets and information; maintain records and files related to students, class schedules, staff, attendance, budget and instructional programs. E Prepare and maintain current list of students assigned to various activities. E Compose, prepare and assemble materials including correspondence and summary reports; research, collect, compile and edit other reports, manuals and documents. E Perform specialized duties involving the area assigned including clerical support to counseling, special events, discipline, maintenance, textbook and others. E Review and check documents for completeness, accuracy and conformance with applicable rules, regulations and procedural requirements. E Communicate with students, staff, and the public and provide information related to District policies, regulations, school functions and programs; make decisions regarding procedural matters according to established guidelines. E Operate a variety of office equipment including typewriter, copier, computer terminal, and transcription and communications equipment. E Provide work direction and supervision to student workers as assigned; monitor workflow and adjust duties to complete assignments in a timely and efficient manner. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: School office terminology, practices, procedures and equipment. Record-keeping techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy. Operation of office machines including computer terminal and applicable software. ABILITY TO: Perform and coordinate office, secretarial and clerical work. Learn, interpret, apply and explain school and District policies, rules and objectives. Work independently with little direction. Perform problem-solving tasks requiring independent judgment. Compose correspondence independently. Perform duties effectively with many demands on time and constant interruptions. Type at 45 words per minute from clear copy. Establish and maintain cooperative and effective working relationships with others. Meet schedules and time lines. Plan and organize work. Maintain records and prepare reports. Work confidentially with discretion. Make arithmetic calculations quickly and accurately. Communicate effectively both orally and in writing. EDUCATION AND EXPERIENCE: Any combination equivalent to: high school diploma or equivalent and responsible secretarial or clerical experience preferably in a school environment working with students. WORKING CONDITIONS: ENVIRONMENT: Office environment. Constant interruptions. Excessive intermittent noise. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer keyboard and other office equipment. Sitting for extended periods of time. Bending at the waist, kneeling or crouching.
