The bilingual (English/Spanish) Business/Administrative Associate I is responsible for the business and service operations of Latin American and Latino Studies. This position handles all financial management for the department, including day-to-day financial operations, office management, travel planning, managing student employees, assisting with contracts, and ensuring the supply chain of goods and services to faculty. This position also involves curriculum planning, human resources, and helping with graduate and undergraduate programs.

The employee processes paperwork for visitors from Latin America and exclusively Spanish speakers. This has often entailed verbal communications as well as letters. In addition, we hold events in the community and need someone who can field questions from Spanish speaking partners and media.

Duties & Responsibilities:

Manage and oversee the day-to-day department administration as well as implement policies that impact long-term planning of outreach, faculty development, research, and operations.Oversee and keep track of departmental records and budgets, including WEE, programing, gift, and instructional in consultation with the Department Chair. Manage financial systems and soft money app. Serve as approver for all financial transactions, including T-Card, P-Card, Chrome River reimbursement, departmental awards, and honoraria.Work closely with the Chair in preparing annual reports and help with providing logistical support for grants development. Prepare contracts and purchase orders with providers/vendors. Process travel reimbursements for faculty and support expense management of research funds. Track departmental awards from campus to faculty. Work closely with the Office of Social Science Research on any LALS grants. Manage travel and arrangements for the department visitors, which may include foreign national and visiting scholars. Make, process and manage all equipment and supply purchase. Assist Director of Undergraduate studies (DUS) in all matters pertaining to curricular development, supervision, assessment, and oversight. Work with DUS to determine course offerings and coordinate schedules with faculty and scheduling office. Oversee cross-unit coordination with units in and outside of LAS to ensure comprehensive and accessible curricula for students. Responsible for composing, revising, and submitting class schedules each semester, filing class syllabi, and all pertinent tasks related to classroom assignments. Coordinates recruitment, orientation, and other information dissemination activities with the DUS. Assist Director of graduate Studies (DGS) with graduate recruiting, enrollment, and processing of appointments. Compiles record of graduate applications and prepares files for review and processing. Coordinates recruitment, orientation, and other information dissemination activities with the DGS. Serve as HR manager for unit: assist Chair with interviews, advertise openings, process hire (faculty, Tas, adjuncts, etc.), and assist in the supervision of graduate and undergraduate student employees (oversees time sheets). Prepare and manage departmental faculty promotion and tenure cases. Conceptualize, edit and manage publicity for webpages, social media and print publications. Maintain departmental files. Maintains records of technology, equipment and all inventory utilized by the department. Conduct proper disposal of old equipment or furniture. Serve as the department Phonebook Contact and set up directory/Phonebook listing for new hires. Perform other duties and participate in special projects as assigned.

Minimum Qualifications Required:

* Bachelor's degree in business administration, management, or a field related to the position.

* Two (2) years of professional business, financial, and/or managerial work experience.

* Must be able to communicate effectively (written and verbal) in both English and Spanish.

(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Preferred Qualifications:

* BA in an appropriate field (Latin American Studies, Latino Studies, Ethnic Studies, Gender Studies, other related interdisciplinary field, social science, humanities).

* Master's degree or substantial graduate credits.
