Position Description:
As an Office Assistant at ARM Consulting, you will play a role in maintaining day-to-day office operations and supporting the entire team. You will ensure smooth office functionality by handling essential tasks such as managing phone calls, coordinating schedules, organizing files, and other administrative tasks. The ideal candidate is proactive, highly organized, and capable of multitasking in a fast-paced work environment. Your efforts will contribute to ARM's mission of optimizing client success while enhancing team efficiency.
Key Responsibilities:
- Provide administrative support to ensure efficient office operations, including answering phones, managing emails, and handling office supplies
- Assist with scheduling and coordinating meetings, travel, and other team events
- Greet visitors and clients professionally, serving as a key point of contact
- Maintain physical and digital filing systems, ensuring accurate and up-to-date records
- Draft, proofread, and edit reports, documents, and presentations
- Handle incoming and outgoing mail, packages, and correspondence
- Collaborate with staff to assist with office management projects and event planning
- Keep common areas organized and well-maintained
Minimum Experience Level:
- 2-5 years of administrative or office management experience
Required Skills
- Strong written and verbal communication skills
- Ability to multitask and prioritize tasks in a fast-paced environment
- Excellent organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information with discretion
Desired Skills
- Proven experience with Microsoft Office Suite (Word, Excel, Teams, Outlook, PowerPoint, SharePoint)
- Experience with event coordination and project management
- Skilled in research gathering
- Ability to present information using O365 platforms
- Experience with office equipment troubleshooting
- Experience with creative platforms (i.e., Canva)
Education/Certifications
- High school diploma or equivalent required; Associate's degree preferred
- Bachelor's degree, highly preferred
**Security Clearance Requirement**
