The Office Assistant plays a critical role in ensuring smooth operation in a fast-paced work environment. This position is responsible for providing administrative support and maintaining a welcoming environment for clients and visitors. This position is Monday - Friday, 1st shift, working up to 38 hours per week.

Job Duties and Responsibilities:

  • Provide excellent customer service
  • Add individuals to EHR and maintain client files
  • Complete data entry and upload documents
  • Answer multi-line phones and direct phone calls, providing accurate information and assistance
  • Verify client insurance benefits to determine coverage and copays
  • Maintain client records and files, ensuring accuracy and confidentiality
  • Prepare and distribute meeting materials and agendas
  • Resolve client inquiries and concerns in a timely and effective manner
  • Adhere to all HIPAA regulations and maintain client privacy
  • Follow organizational policies and procedures related to front-office operations
  • Manage reports
  • Assist with internal and external correspondence
  • Provide support to other offices as needed
  • Light housekeeping duties
  • Conduct initial intake interviews with potential clients to assess their needs and eligibility for service
  • Coordinate referrals to other providers or community resources as needed.

Knowledge, Skills, and Abilities (KSAs):

  • Strong interpersonal and communication skills:Ability to interact effectively with clients, staff, and healthcare providers.
  • Excellent organizational and time management skills:Ability to prioritize tasks and meet deadlines.
  • Proficiency in computer applications:Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and electronic health records systems.
  • Attention to detail:Ability to accurately maintain client records and follow procedures.
  • Customer service orientation:Commitment to providing exceptional service to clients and families.
  • Problem-solving skills:Ability to identify and resolve issues in a timely manner.
  • Adaptability:Willingness to learn new skills and adapt to changing priorities.

Minimum Education and Experience:

  • Minimum of 2 years work experience in an office environment
  • Minimum of 2 years customer service
  • Minimum of 1 years experience in behavioral health, preferred
  • Minimum High School Diploma/GED
  • Associate degree, preferred
