Office Administration Assistant

Summary:

We are looking for a motivated, highly organized, and detail-oriented Office Administrator to join our team in Midland, Texas. This role is crucial for supporting smooth day-to-day operations at our Midland office and across our other locations. The Office Administrator will provide critical administrative support to the Director of Operations and regional teams, aiding global operations. Key responsibilities include supporting colleagues and managing a range of administrative tasks:

  • Maintain and track safety compliance records across regions.
  • Create and manage purchase order (PO) activities for the West Texas (WTX) and South Texas (STX) regions.
  • Track and ensure up-to-date fleet registrations and inspections.
  • Generate and manage internal job numbers for yard repairs across regions.
  • Track inventory parts and maintain accurate, up-to-date inventory records.
  • Assist with physical counts of inventory as needed.
  • Work closely with the procurement team on daily, monthly, and yearly assignments.
  • Assist the Director of Operations and Regional Operations Managers with day-to-day needs.
  • Support general administrative tasks, including filing, data entry, and office supply maintenance.
  • Book travel and hotels for employees as needed.
  • Manage incoming and outgoing mail and packages.
  • Greet visitors and direct them to the appropriate person or department.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent; an Associate degree or relevant certification is a plus.
  • Demonstrated experience in an office assistant or administrative role is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with additional office software is beneficial.
  • Exceptional organizational and multitasking abilities with a high level of accuracy and attention to detail.
  • Excellent written and verbal communication skills, with strong interpersonal abilities.
