Purpose: The Admission Office Assistant serves as an assistant to the administrative and professional staff of the Office of Admission and assists with various Clerical and Admission duties. The Admission Office Assistant reports directly to the Manager, Admission and Events Planning.
Duties & Responsibilities:

ASSIST WITH FRONT DESK ADMISSION OFFICE TASKS
ASSIST WITH INDIVIDUAL CAMPUS VISIT AND GROUP VISIT TOURS

Duties & Responsibilities:
ASSIST WITH VARIOUS ADMISSION OFFICE TASKS
- Compile mailings, replenish marketing materials, file documents, compile prospective student folders, prepare giveaways
- File items in student records
- Type labels, letters and cards
- Data input of student inquiry cards and test scores into Slate software program
- Enter Group and Individual visit information cards for Traditional and Transfer prospective students in Slate, enter and compile visit survey form data weekly, etc.
- Copy materials as requested
- Word processing (Microsoft Word projects) as assigned
- Mail: mail inquiry packets, financial packets, various letters as needed
- Scan materials as assigned
- Record keeping of inventory
- Stock supplies when low stock
- Keep display racks around campus filled
- Retrieve and lift supplies from the Cage/ Storage Room 40 as needed
- Replenish visit folders and athletic folders when supply is low
- Make deliveries to departments as needed/ requested
- Help prepare Discover the Mount event items and other event prep as needed
- Fold visitor t-shirts after delivery in preparation for daily visits and event give aways
- Restock water in Admissions and LIB 115 refrigerators
- Proactively assist with Admission Department daily work and projects as needed
- Work with and support Traditional/ Transfer/Adult and Graduate Admission teams as requested/ required
- Assist Admission Counselors with projects as needed; compile stats, mailings, files, etc. as assigned
- Assemble and distribute admission material for other departments upon request
- Develop sound record keeping and filing procedures
- Texting/ e-mailing/ calling prospective students, writing postcards, helping with Admission campaigns and other work as assigned
- Perform other duties as assigned
ASSIST WITH FRONT DESK ADMISSION OFFICE TASKS
- Receptionist/ Front desk coverage as needed
- Phone skills; answering phones
- Provide first class customer service to all visitors, maintain professional demeanor with students/ visitors and within the Admission Department
- Welcome guests of the Office of Admission, assist at the Admission Front Desk providing coverage as needed, answering phones and assisting visitors with wayfinding to various departments
- Complete AVI meal ticket documentation as approved when covering front desk
- Complete Admission visit student campus visit excuses when covering front desk
ASSIST WITH INDIVIDUAL CAMPUS VISIT AND GROUP VISIT TOURS
- Give Campus Tours (with required training) occasionally as needed during regularly scheduled work hours
- Assist with Admission Department Group visits and Group campus tours occasionally as needed
OTHER EXPECTATIONS & DUTIES AS ASSIGNED
- Dress code when on-campus: (student appropriate attire, no other University logos)
- Maintain a high level of enthusiasm and professionalism when working with prospective students and their families
- Cell phones should not be in use while working unless there is an emergency
Qualifications
- Must be currently enrolled student at Mount St. Joseph University
- Federal work-study eligible
- Microsoft Office proficiency (Word, Excel, Outlook, PowerPoint)
- Must be able to learn and become proficient in the use of Slate software used in the Office of Admission
- Ability to work independently, to take initiative and to meet/ exceed deadlines
- Well organized, punctual, and reliable
- The ability to communicate sensitively and tactfully, both orally and in writing, with individuals at all levels within the University
- Must possess experience in areas as referenced in the job description above
- Must possess other identified/ required qualifications necessary for completion of assigned duties
- Must possess the ability to communicate sensitively and tactfully, both orally and in writing with individuals at all levels within the University
- Must be able to lift up to 30 lbs.
