Job Description
Primary function of this position is to provide administrative support to the staff of The Arc in all aspects of daily administrative operations: including the responsibility for greeting internal and external customers in-person and via telephone; telephone management-routing phone calls and inquiries to appropriate parties; typing; filing; and computer project management.
Performance Measures: A successful Receptionist/Administrative Assistant will produce positive outcomes in the following areas: clerical tasks and assignments, special projects, and customer satisfaction.
ESSENTIAL DUTIES AND RESPONSIBILITIES (IN PRIORITY ORDER)
Correspondence greet all visitors and notify staff of visitors; answer all incoming phone calls, redirect calls, and provide additional information as needed; prepares bulk mailings and correspondence mailing as assigned, handles copying and document/file preparation when assigned.
Office Equipment works on maintaining office equipment, and proficiently uses and maintains the copier, printers, fax and mail equipment.
Office Maintenance keeps front desk and lobby area clean and secure. Wipe down common areas regularly. Contact vendors for repairs and outside maintenance calls.
Office Supplies Inventory supplies, assist in supply orders, stock break rooms
Coordination of Meetings schedules the use of the conference room, and assist in the set-up/clean-up for meetings.
Strategic Planning assists the Executive Director and office management in gathering information, scheduling meetings and document management, anticipates the clerical and organizational needs of staff members.
Work Flow assist with office work flow; copies, scan/file documents, word processing of notes/minutes; screen/deliver mail; assist with office beautification.
Administrative Support to Other Senior Staff - Secondary to any duties assigned by Executive Director or other senior staff with correspondence, workflow, personnel, data entry, or other duties as requested, and at management discretion.

EDUCATION& RELATED WORK EXPERIENCE
Education Level/ Years of Related Work Experience:

Required: High School Diploma/GED and minimum 1-year demonstrated clerical experience and appropriate office skills.
Skills and Knowledge
-Proficiency in technical areas such as Microsoft Office; including Word, Outlook, Access and Excel.
-Excellent oral communication skills reflecting solid customer service both in-person and via the telephone;

WORK ENVIRONMENT

Routine office environment. Regular work week with occasional early evening or weekend hours.
CONDITIONS OF EMPLOYMENT
Must be able to pass comprehensive background check. Must access to reliable transportation, valid ID/drivers license, and meet the required automobile insurance minimums for the State of N.M.

Physical Requirements:
Ability to travel, sit for prolonged period of times. The position requires the ability to lift 20 pounds unassisted, 40 pounds with assistance. Travel may require driving in inclement weather or in the evening after sunset.
