The Dallas Children's Advocacy Center is seeking an experienced Executive Office Assistant for our executive leadership team.
GENERAL DESCRIPTION: Assists the Chief of Staff with calendar schedules and provides administrative support for meetings, trainings, and special events.
ABOUT DCAC: The mission of the Dallas Children's Advocacy Center is to improve the lives of abused children in Dallas County and to provide national leadership on child abuse issues. DCAC is a non-profit organization and the only agency of its kind in Dallas County, working in agreement with public and private agencies to investigate, prosecute, and provide healing services for child abuse cases in Dallas County.
We reduce the victimization of the child, remove barriers to investigation and treatment, and enhance criminal prosecution with our distinctive multidisciplinary and united approach to these complex and severe cases, all at no cost to our clients. Each year, DCAC serves over 13,000 children and their non-offending family members.

Qualifications
Education and Experience: HS Diploma, bachelor's in business administration or similar preferred, with at least 3-4 years of experience in an administrative role, relevant and transferable experience and familiarity of non-profit organizations.
Desired experience: Calendar management and travel arrangement; meeting preparations and board or donor interaction.
Required License(s) or Certifications: Valid and clear driver's license.
Knowledge, Skills, and Abilities:
WORK ENVIRONMENT:
Work Location: All interviews and work must be performed in the office. Possibility to work remotely one day per week after six months of employment with DCAC.
Mental and Physical Abilities: Duties are usually performed seated with occasional periods of standing or walking. Limited physical effort is required associated with lifting and carrying objects (less than 25 lbs.).
Working Conditions: Work may be performed but is not limited to an office environment.

ESSENTIAL DUTIES AND KEY RESPONSIBILITES:
Front Office and Visitor Management:
- Acts as the first point of contact for visitors and manage visitor logistics for executive meetings.
- Ensures the executive office area operates smoothly, including fielding requests and managing incoming inquiries.
Administrative and Logistics Support:
- Provides executive administrative support by preparing reports, presentations, and correspondence as needed.
- Oversees agency-wide calendar coordination to ensure smooth scheduling of meetings, events, and deadlines.
- Assists with managing the calendar for executive office, ensuring optimal use of time and alignment with organizational priorities.
- Occasionally assist with travel arrangements for executive office, including booking flights, hotels, and other logistics.
- Provides assistance to the Chief of Staff with agency-wide projects.
- Helps gather data, prepare reports in Excel, and support special project coordination as needed.
Meeting Preparation and Setup:
- Prepares PowerPoint presentations and supporting materials for internal and external meetings.
- Plans and coordinates internal and external meetings, i.e., staff meeting, board retreats, etc., including meeting notifications, preparation of meeting materials
- Arranges the venue (physical or virtual) ensuring it is equipped with necessary technology (e.g., projectors, video conferencing tools). If virtual, ensures that the platform used is accessible to all participants.
Other Duties:
- Perform administrative assistant tasks such as scheduling meetings, preparing reports, event planning, errands and managing communications for senior leadership.
- Assists with posting social media content on Instagram and LinkedIn that showcase special events or agency celebrations.
- Drafts and posts updates, monitors engagement, and collaborate on developing content that aligns with executive office organizational announcements and goals.
- On occasion, may accompany or meet President and CEO offsite for media appearance to lend support.
- Performs other administrative duties and special projects as required.
- Attends agency and supervision meetings.
- Attends and participates in the annual Crimes Against Children Conference.
- Completes ongoing agency compliance training as needed.
Qualifications

- Skilled at meeting planning and execution.
- Skilled and experienced with MS Word, Excel, PPT and Adobe documents.
- Ability to prioritize and organize multiple tasks and projects.
- Ability to maintain client, donor and other agency confidentiality.
- Ability to provide advanced level administrative support.
- Ability to prepare accurate written communication to internal and external stakeholders.
- Demonstrated ability to work with all levels of employees, board members, partners, and community.
