Assistant/Office Manager

Responsibilities


As the Assistant/Office Manager, you will be responsible for:

Office Management:


  • Oversee general office operations to maintain a well-organized and productive environment.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate maintenance and repairs for office equipment and facilities.
  • Serve as the main point of contact for vendors, contractors, and service providers.
  • Ensure compliance with health and safety regulations.
Administrative Support:


  • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and preparing reports.
  • Organize and maintain filing systems (digital and physical).
  • Handle incoming calls, emails, and correspondence professionally and efficiently.
  • Assist in creating and distributing internal communications and company announcements.
Human Resources Coordination:


  • Support HR functions such as onboarding new employees, maintaining personnel records, and scheduling interviews.
  • Assist in organizing team-building events, training sessions, and office celebrations.
Financial Administration:


  • Process and track invoices, expense reports, and petty cash.
  • Collaborate with the finance department to ensure timely payments and record-keeping.
  • Monitor office budget and suggest cost-effective solutions.
Qualifications


  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with office equipment and basic IT troubleshooting.
  • Excellent communication and interpersonal skills.
  • Discretion and confidentiality in handling sensitive information.
  • Bachelors degree in Business Administration, Office Management, or a related field is preferred.
