JOB SUMMARY:
Reporting directly to the CIO, the administrative assistant provides comprehensive clerical and organizational support to the Chief Information Officer, managing tasks like answering phones, scheduling meetings, managing calendars, handling correspondence, maintaining files, managing projects ensuring smooth office operations through efficient communication and administrative duties.
JOB DUTIES AND RESPONSIBILITIES:
- Communication management: Answering and directing phone calls, managing email correspondence, tickets, relaying information timely and taking/preparing messages
- Calendar and scheduling: Maintaining complex calendars, scheduling meetings, creating agendas, preparing meeting minutes and coordinating appointments
- Document management: Filing documents electronically and physically, preparing and distributing reports, creating presentations, manage ticketing system
- Data entry and recordkeeping: Maintaining databases, updating spreadsheets, tracking expenses
- Project support: Assisting with project planning, gathering information, preparing materials
JOB REQUIREMENTS:
- High school diploma or equivalent required
- Excellent communication and interpersonal skills
- Strong organizational and time management abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Attention to detail and accuracy
- Ability to multitask and prioritize effectively
- Discretion and confidentiality when handling sensitive information
